ARTICLE I

 

GENERAL

SECTION 1.01 - NAME

This organization shall be known as the Butte Folk Music Society.

SECTION 1.02 - PURPOSE

The Butte Folk Music Society is organized to encourage and support traditional and folk music in the North Sacramento Valley through concert venues and other music-related activities with the purpose of providing cultural enrichment and community education. The Butte Folk Music Society shall be non-profit.

ARTICLE II

 

MEMBERSHIP

SECTION 2.01 - QUALIFICATIONS

Any individual, irrespective of race, nationality, political opinion or religious belief, is eligible to become a member.
Membership is open to the public and is maintained through the payment of annual dues.

SECTION 2.02 - DUES

The annual dues payable to the Butte Folk Music Society by members shall be in such amount(s) as may be determined from time to time by resolution of the Board of Directors. Membership shall begin on the month dues are paid and last twelve (12) months, at which time the annual dues shall be due and payable.

SECTION 2.03 - TERMINATION OF MEMBERSHIP

Termination will result in the case of death, resignation or failure to pay the annual dues.

SECTION 2.04 - PROPERTY RIGHTS

No member shall have any right or interest in any property of the Butte Folk Music Society.

SECTION 2.05 - LIABILITY OF MEMBERS

No member of the Butte Folk Music Society shall be personally liable for any of its debts, liabilities, or obligations, nor shall any member be subject to any assessment, other than membership dues, except as provided for by state or Federal laws.

SECTION 2.06 - PRIVILEGES

All members in the Butte Folk Music Society will pay a reduced rate of admission at all functions sponsored by the organization. Members will also receive advance notice of scheduled concerts and regularly scheduled meetings. All members have the right to vote for positions on the Board of Directors at the annual membership meeting, and changes to the by-laws. All members shall have the right to run for office on the Board of Directors.

ARTICLE III

 

MEETINGS

SECTION 3.01 - ANNUAL MEETING

An annual general membership meeting shall be held each January.
The time and place shall be determined by the Board of Directors.

 

SECTION 3.02 - BEARD OF DIRECTORS MEETINGS

The organization shall hold quarterly meetings of the Board of Directors in January, April, July, and October. The board meetings shall be conducted according to Robert's Rules of Orders.
Additional meetings shall be held at the discretion of the Board of Directors.
A quorum shall consist of a simple majority of current board members.

ARTICLE IV

BOARD OF DIRECTORS

 

SECTION 4.01- COMPOSITION OF THE BOARD

The Board of Directors shall consist of not less than five (5) and not more than eleven (11) current members of the Butte Polk Music Society. The Board of Directors shall consist of the Chairperson, Vice Chairperson, Secretary, Treasurer, and Artist Coordinator and board Members-at-Large. The board shall designate new offices as the need arises, with the restriction that at least fifty-one percent of the board shall have been elected by a General Membership vote.

SECTION 4~02 - ELECTION AND TERM OF OFFICE

Election of officers shall take place at the annual meeting with the new officers taking office immediately following that election for a term of one year. The nominating committee shall be formed at the October meeting. Nominations shall be accepted from that time until the elections at the January meeting.
No person may be elected to office by less than 51% of the members voting at the annual meeting. The election for members- at-large shall be held only after the other positions have been filled.
Only current members can run for office.

 

SECTION 4.03 - RESIGNATION FROM OFFICE

A 30-day written notice of resignation or withdrawal from any office to the Chairperson is required.

 

SECTION 4.04 - REMOVAL FROM OFFICE

An officer may be removed from office by the vote of a two-thirds (2/3) majority of the officers or a two-thirds (2/3) majority of the members present at a general meeting of the Butte Folk Music Society

SECTION 4.05 - VACANCIES

The office of Chairperson shall be filled by the vice Chairperson. Other vacancies on the Board of Directors may be filled by appointment by the Board of Directors determined by a simple majority vote.

SECTION 4.06 - DESIGNATION OF COMMITTEES

The Board of Directors shall designate all committees, select all committee chairpersons, and assist in the selection of committee personnel.

ARTICLE V

OFFICERS

SECTION 5.O1 - DEFINITION OF OFFICERS

Officers shall be as defined in Section 4.01.

SECTION 5.02 - DUTIES OF OFFICERS

a. Chairperson: The Chairperson shall serve as the executive head of the Butte Folk Music Society and shall preside at all meetings of the membership and the Board of Directors.

b. Vice Chairperson: The duties of the Vice Chairperson shall be such as the title by general usage would indicate. The Vice Chairperson will assume the duties of the Chairperson when the Chairperson is unable to act. The Vice Chairperson shall be the welcoming arm of the Butte Folk Music Society at the meetings and be responsible for the control of inappropriate behavior.

c. Secretary: The Secretary shall record the minutes of all regular meetings of the Butte Folk Music Society and be responsible for safekeeping of said records.

d. Treasurer: The Treasurer shall be responsible for the safe guarding of all funds received by the Butte Folk Music Society and for their proper disbursement. Such funds shall be kept on deposit in financial institut- ions approved by the Board of Directors. Checks may be written subject to approval of the Board. The Treasurer shall prepare a written, properly detailed quarterly financial report to be made at all regular meetings and at such other times as may be required.

e. Artist Coordinator: The Artist Coordinator shall act as liaison between the Butte Folk Music Society and the artists or their agent.

fe Members-at-Large: Members-at-large shall actively participate in the endeavors of the Butte Folk Music Society.

SECTION 5.03 - CONTRACTS

Contracts will be signed by either the Chairperson or the Treasurer only with authorization from the Board of Directors.

SECTION 5.04 - REQUIRED ATTENDANCE

It shall be the duty of all officers to attend meetings of the Board of Directors, the regular and annual meetings of the Butte Folk Music Society and such other meetings as mar be required.

ARTICLE VI
AMENDMENTS

 

These by-laws may be amended or repealed, or new by-laws adopted only by a majority vote at the annual general membership meeting of the Butte Folk Music Society, or at such special meeting which may be called with a minimum of one month prior notification to all members.

ARTICLE VII
DISSOLUTION

The Butte Folk Music Society shall use its funds only to accomplish the objectives and purposes specified in these by- laws, arid no part of said funds shall be distributed to the members of the Butte Folk Music Society. Upon dissolution of the Butte Folk Music Society,its assets remaining after payment, or provision for payment, of all debts and liabilities of this society shall be distributed to a nonprofit fund, foundation or corporation which is organized and operated exclusively for charitable and-or educational purposes and which has established its tax exempt status under Section 501(c)(3) of the Internal Revenue Code.

I. Purpose of Meeting.

This meeting is convened for the sole purpose of revising the current resolution to allow the Treasurer to sign contracts with the City of Chico as a representative of the Butte Folk Music Society.

RESOLUTION # 970804-01

WHEREAS; Section 5.03 of the BUTTE FOLK MUSIC SOCIETY BY-LAWS authorizes the Chairperson or Treasurer to sign contracts only with authorization from the Board of Directors, be it RESOLVED, that the Board of Directors authorizes either the Chairperson or Treasurer to sign and enter into an agreement with the City of Chico for use at CITY OF CHICO TRANSIENT OCCUPANCY TAX REVENUES for the 1997-1998 fiscal year.

Need for logo discussed.  Incorporation of guitar, banjo, and fiddle in logo suggested by Michael Springer. Kansas makes motion to have a preliminary banner made without logo up to $200 or less in cost saying “Butte Folk Music Society”, and that Darla and Lorraine are authorized to get it. Seconded by Bob LoFaso. Unanimously passed.
 
Homegrown:
Venue: Reservation for Grange for May 16th.
Concerns about fire safety of Grange presented by Kansas . Bob LoFaso discusses his contact with Fire Marshal concerning inspection,
 
Tendency of safety issue to delay the rest of festival production mentioned by Kansas . Bob says he will accept the Fire Marshal’s decision. Bob discusses history of the building and specific concerns. Price for Grange is $800 and $640 with “Nancy Discount”, if it turns out to be applicable. Kansas moves that if everything goes right with fire inspection we vote
to pay up to $800 for the Grange.  Motion seconded by Darla. Motion passed unanimously.  
 
Artist selection:
Kansas discusses current list which he will publish by e-mail.
Category A: last year's people we want back.
Category B: People we didn’t get that we want for first time.
 
Bernie presents motion to guarantee payment for musicians performing at Homegrown with up to $1,000 of B.F.M.S. money to be utilized if the amount per performer would otherwise fall below an amount to be determined.Bob LoFaso seconds motion. Passed unanimously.
 
Need for volunteer coordinator presented by Lorraine Dechter.
 
Date for next meeting set for Tuesday March 10th or Thursday March 12th- Lorraine will tell us which works.
 
Motion to extend membership of Jewel and Mark Cardinet in return for them hosting the general meeting. Seconded by Kansas Wortham. Motion passed unanimously. Meeting adjourned at 9:18pm.

Minutes of Butte Folk Society December 12, 2008

Minutes were read—and approved with one correction.
Correction: Bob LoFaso spoke to others besides Dan Dewayne regarding CSUC .
Kansas asked Fred Markem about music at Grilla bites….Fred agreed to support music and requests that guests also buy dinners, since he may close dinner early and keep place open late.
Steve O’Brien is holding a concert at Grilla Bites soon.

  Financial report…Darla says we have $3,724.86 – postage was returned to Bernie for mailings.Party invitations for our December Holiday party were sent to all members.

Pot Luck jam Holiday party 2-5 Dec. 7 Sunday Steve and Evie Robertson in chico. They are willing to make their house accessible. This is for BFMS members only.

Banner-Kansas has investigated replacement cost – 2 X 8 banner for nearly $50 with grommets, etc. One local place had a 2X8 or 3X8 for $200. Kinko’s was $150-$180. We discussed whether it should BFMS and/or Homegrown Music Festival.  Motion withdrawn and re-scheduled .

Tax Records….need to be kept Bob Lofaso sent an e-mail to Darla regarding this.

Upcoming nominations—Bob Lofaso moves that he and Bernie each have a full membership on the next board (not co-chair) Bob Lofaso asks if everyone  who is currently on the board is willing to continue in their capacities.  As Chair or Vice Chair,  Kansas would be willing to take a leadership role.  Bob and Bernie have requested that they retire as chair people, but are willing to remain on the board. Kansas would be willing to be Chairperson and would also would be willing to continue as Vice chair.  Bernie will offer to be the Membership person.  Should we ask Lorraine to be vice Chairperson? We will do this. Laurel mentioned that it might be too time consuming for Lorraine to be the Chairperson for our organization, due to her busy schedule. Sam Beasely is not able to be on the board but would be supportive and participate. Bob Harrison would certainly be interested in help with the newsletter editing and the web page. 

The general membership meeting and election have been held at Jewel’s house for the past two years.  We gave Her and Mark Membership in exchange for their hospitality. We are looking at January 31 the fifth Saturday or the Sundays  Jan. 11, or 25.  Kansas will check to see which days Work with Jewel and Mark.

Kansas has been planning on the Homegrown  festival date..

Women’s event is in april, and May dates impacts are: First weekend is environmental fair, artisans fair, last weekend is Strawberry.

Policy for paying performers needs to be established…”secondary” “minor” ones may be on a Volunteer basis. We had only  paid perfomer last yearon the outside stage:  Whipple.  Indoor (main) stage will be paid artists.  Outdoor stage will be for members, Encores,  and “free for all”. We may have a similar budget, and Kansas recommends we not pay for performers on the outside stage.  We need to check with other presenters. Steve O’Brien, Steve Schuman (North Valley Prod.), Big Room, Dan Dewayne & University Public Events, etc. Laurel will check with the grange May 9 and 16 and check for CSUC graduation date.

Horse Sense should be added to the perfomer list for those who participated last year. We may pick 4 or 6 of the best performers from last year to re-invite them.

Peter Berkow hosts an acoustic music eve at auggies this Sat..this will be his 2nd one.

Bill Evans and Megan Lynch, and Rita Hosking will be touring in February and have 13 and 14 available. Garrison Kiellor will be in chico one of those days and They Already booked the other day.  Cindy mangsen and Steve Gillette are looking for A late feb. date.  John McCutcheon’s agent  said Sierra Nevada big room will not be booking him.  So we could if we want to, but in years past we needed $1,000 sponsor to cover his Fees.

Meeting adjourned. Next meeting will be next year…the annual membership elections and pot luck and jam.

Minutes of Butte Folk Society November 8, 2007

October minutes were reviewed; corrections to be made and to be brought to December meeting for review and approval.

Financial Report by Treasurer

- $3,724.93 balance + $95 for renewals received

- Music Connection and Lyon Books have not sold any Continental Divide tickets yet.

  (Michael Springer volunteered to sell tickets at the door.)

  Kansas reported on planning for a “Home Grown” musical event in the Spring after passing out  printed report copies.

Tentative Plan

- All day on a Saturday till perhaps till 9pm.

- The ticket price will for a modest payment.

Darla said the “Home Grown” concerts we had before were BFMS benefits and performers got paid only by a tape of the music and 1 year free membership.

Insurance: Kansas , Steve and Bob provided a lot of insurance information.  Lorraine and Bob addressed the risk issue to Board members.

By unanimous agreement planning should proceed based on the probability we will hold the event.

Three committees were agreed upon.

All committee plans to be subject to Board review and approval.

          A Structural Committee was appointed with Kansas as Chair and Rebecca and Steve.  The Structural Committee will be responsible for all planning but within the financial guidelines set by the Budget Committee. 

          A Budget Committee was appointed with Darla as Chair and Tom Leonardi, LeeAnna and Bob.

          An Auxiliaries Committee to arrange sponsorships is to be set up in the future.

Steve reported that he booked the Grange for the Harvey Reid concert on January 27th.

Darla reported that she canceled long distance on the BFMS phone, saving about $6 a month.

Darla requested an updated membership list for Board at next month’s meeting.

The next Grange meeting is 11/19 at 6:30pm, proceeded by a potluck.

By unanimous vote, future meetings are to end by 9pm. The next meeting will be 12/13 at 7pm at Steve and Lorraine ’s - 783 East 8th Street , Chico .

Minutes of the BFMS meeting May 16, 2007

Meeting Minutes were approved with small clarifications to be made.

Financial Report:  Not applicable.

Updated Membership Forms were approved.  They are to be printed on color paper for non profits that Loraine can get free.  The LoFaso’s will scan the form 2 to a page and email it to Kansas.  He will print 50 sheets, 100 forms total.   Laurel talked about someone being added to the Kinko account, but the offer was declined.

The next Grange meeting will be May 21st at 6:30pm.  Bob talked about this membership meeting and potluck.

Steve will be available to head the next Upper Crust.  Bernie was uncertain if she’d had reported at the last meeting that Sid participated in the entire Terrace jam and explained his Jamming 101 class.  Bob and Bernie said how appreciated Rebecca & Bill  Unger and Michael Springer’s live music was at Bob’s history class.  Bob said that Augie’s was thankful for BFMS’s help on setting up the BG jam and Oldtime jam.

The Artoberfest Kickoff is on September 29 from 10-10pm.  We need to have our September meeting earlier to make plans for our booth, etc.  Loraine will check with a lady she knows to find out how we can have time on the main stage.  Also, Laurel will talk to this lady at the Strawberry Festival, if not before.

Laurel mentioned that we need the BFMS banner thought it was at Jewel’s.  Loraine called Jewel and Jewel said Darla has the banner.  She suggested having an October concert/gig to promote at the Artoberfest.  It was decided to instead promote the November 15th concert with David Parmley and Continental Divide at Grilla Bites that’s already in place.

Laurel brought up the idea of us having a newsletter to hand out at our Artoberfest booth and suggested that  Darla put a request for articles in the next e calendar.  She will also check with Darla about the BFMS history flyers.  Bob Harrison will put the newsletter together.  The deadline for submissions is September 1st.  Laurel will do something about BFMS history and festivals.  Steve write about the concerts we’ve produced.

Loraine displayed Sal’s working designs for t-shirts to sale at the Artoberfest, etc.  After lots of discussion, the board voted to have about 4 dozen t-shirts made.  Approval was given to Loraine to work with Sal, the printer and make the final decisions.

Laurel is to proceed with the school teacher regarding the Poster & Logo Contest.  She read most of the flyer information to be given to the teacher.  The board brought out that it needs to include that students submit and contact us through their teachers, fonts will be determined by printer and no more than 2 colors will be considered.

Laurel talked about almost not having a quorum for this meeting.  After discussion it was agreed that Bob would call Shelley to find out tactfully if she planned to attend future meetings, etc.  Kansas clarified that it would be done so she’d know she was welcomed.

The next meeting will be on September 12th (the 2nd Wednesday) at 7:15pm at Steve and Lorraine’s - 783 East 8th Street, Chico.

Minutes of the BFMS meeting March 21, 2007

Present:  Darla Novak, Steve Johnson, Lorraine Slattery, Kansas Wortham, Laurel Paulson-Pierce, Rebecca Snow, Bob & Bernie LoFaso                                                  Absent:  Jeanne Thatcher and Shelley Connolly.

Meeting minutes were accepted with the understanding that small corrections needed to be made.  Bernie offered to assist Laurel .

Financial Report:  $ 3,852.24 in our account.

Suzi Gillum prepared a new membership list and copies were given to all board members present.

Bob LoFaso contacted the downtown business association regarding seating for audience at all stages for The Taste of Chico.  Groups only are considered.  They paid the minimum of $50 at the small stage and $200 at the large stages.

Rebecca and Molly's Favorite played at Augie's on Salem and the acoustics were good.  Father Hanson of St. Augustine ’s church manages the coffee shop and is a fan of folk music.  They serve wraps, sandwiches, salads, drinks.  The BFMS jam could be held there.  We decided to continue holding out jam at Upper Crust for now.  BFMS wants to promote live performance of acoustic music.  Bernie wonders if the folk society could provide entertainment there.  

Jams:  Laurel will host the Upper Crust jam on April 7.  The Terrace jam picked up with an oldtime fiddler and autoharp joining the regulars for a special St. Patrick’s Day jam.

Venues:  It is unknown if the Augie’s would be available for us to hold a concert.   Darla reported that Cafe Coda is available at no charge if we make arrangements, sell tickets, do advertisement and produce the event.

Darla is working on the Steve Gillette & Cindy Mangsen 3/29 concert.  Café Coda was already booked.  Also, she will follow through with the Terrace regarding Music By The Lake.  BFMS wants the musicians to be compensated.

Membership Levels:  The BOD agreed with the membership level committee to keep the individual and family memberships the same.  Two new levels of Silver Threads at $35 & Golden Needles at $50 were added.  Laurel will design new forms to reflect these changes.

The Grange at Nord and Rodeo:  Bob LoFaso reported that the building is handicapped accessible.  The theater seats about 100.  He will report on chairs, stage lighting, fire and health code at the next BOD meeting.  Lorraine has someone from the Farmer’s Market who would like to use the kitchen 3 times a week.

Logo and T-Shirts:  Chico Screen Print was contacted about rates.  Positive Print on Mangrove quoted these prices:  Each color would cost $15 initially to create a new screen, lettering to be provided by them.  They use 6.1 ounce t-shirts and usually charge $8.00 for the shirt with up to 3 colors. They agreed to $7.50 for us.  Polo shirts would be $11.50   We discussed Natural color unbleached shirts.  Dark colored shirts would be $1 more and light colored shirts would be $ 0.50 more.  Loraine & Laurel will work together to do an information sheet for the logo contest.

The T.O.T. funds (transient occupancy tax) are collected by the city and available thru the Chico Arts Council and Chico City by a grant of $3,000 for up to 3 years.  It was decided that it would not be pursued at this time

Minutes of the September meeting were approved and seconded.

Our balance is $ 1,325.13 as of late November, 2006

We reviewed the by-laws and agreed that we are abiding by our stated purpose. These Are available on the folk society web site if anyone cares to review them.

Jams...Lucy had a discussion about the jam if someone wants to encourage a theme to be decided on the month before.  It always helps attendance to promote the event and call people to encourage them to show up.  Laurel agreed to host the one on Dec. 2.

We want to encourage new players to attend.  Jewel has a mandolin student. There were a couple of new people who came last time. Steve always brings Membership forms in case anyone is interested in joining.

We will extend invites to Sid Lewis' Acoustic College students. He agreed to Post notices at his studios.

Shelley Connolly is willing to host a holiday gathering. Everyone is encouraged to Bring food, music and friends.  It needs to be moved to sat Dec. 16 at 5 pm . It is A pot luck bring a friend and food and feel free to make music until midnight. Her House is located at 1574 Vallambrosa, near Madrone.

Tina agreed to attend the Folk Alliance Conference on Nov  17-19 in Rancho Cordova.  She was given some business cards to distribute on our behalf to musicians, producers And media people there.  We do not know if she went because she did attend the meeting..

Several local members have joined the Grange in Chico and we hope to soon be able to use that facility for concerts and events.  Grange--Ken Donnel has signed up several new members in the area and by Feb. we should be hearing more. The Serenity Center might be a place we also investigate as a venue.

We wonder if the jam and membership meeting can be concurrent, or if they are separate function better to be held in separate places. It was decided that it is better to hold the jam in a public place  But our meeting and elections are best conducted in private.

Some discussion was held as to whether it would be best to hold the jam and meeting On separate days, or to minimize travel time and expense to schedule them on the same day. We decided to hold them on the same day but in different places.

We agreed to post a link to Sing Out magazine on our web page and Bob is working on it.

We wonder if we need to use paper and stamps as we have in the past for the newsletter. Darla's e-calendar serves the purpose of a regular information source which reaches more People than the newsletter. We agreed that members should submit articles to Darla to be Included in this and that we will print and send to those who do not have e-mail. if we send a newsletter (or an e-mail) what would be included?

Here are the main items we will add to the e-calendar:
Party—Sat. Dec 16 starting at 5 pm pot luck 1574 Vallambrosa; Jam—Sat Jan. 6  from 2-4:30 at the Upper Crust Bakery (adjourning  ½ hour early);
Elections--and General Membership meeting after the Jam is at Jewel's house 1585 E 8th St. as soon after 4:30 as we can get there

Shelley suggested that we might organize a calling tree. It would mean that if 8 board members each made 10 calls we could reach every BFMS member.  It was mentioned that we might ask everyone if their contact information was correct and update the data and their membership, too. We also have people who are willing to do jobs for the Society who do not hold board positions.

Shelley mentions that James McMurtry or a similar artist is passing thru  that we should be able to produce concerts on short-term basis without a large out-lay of cash and without tickets costing over $5 or so. This is often done at Duffy's for people passing through.  Shelley is willing to be a facilitator for this and offer a place to stay.  Time can be of the essence.

Steve stated that he has a sound system if we should need one. He has a 6 channel mixer, but does not have monitors.

Bernie and Bob LaFaso wanted to get some music on a regular basis Terraces senior living lodge club Christine Sarver was asked.  We might encourage musicians to play there. Perhaps different Genre of music could rotate.

John Senior is the activities director for the C.B.A. and has tentatively scheduled a bluegrass jam at the downtown band shell. Perhaps he could schedule some musicians to play at Terraces. The Pub Scouts often play for Wind Chime senior living area, and are paid for this.

The Friday night concerts in the park are sponsored by local business.. but yet the musicians are not paid for this.  The D.C.B.A. is receiving the funds –the fact that the band does not get paid seems evil. (someone said)

Bob Lafaso is interested in contacting the news and review to get an article about the folk society and or the monthly jam. 

Tina resigns as president...so we need to consider possible people to fill this position at our election.

Feb 10 would be the date for Chuck Brodsky...He wants $400 vs.. 70% of the door. plus a motel room.  This may be above our bracket. Darla will communicate this to him.

We would like to seek out corporate sponsorship--Music Connection and Herriod's music. Each board member was encouraged to think about this between now and the next meeting and consider possible businesses and groups to request about this. Adrian Scott and Phillip Persons have mentioned that their house could be used as a venue for a house concert.  Gwen Curatilo (from the symphony) has also offered.

There will be no meeting in December, next meeting Jan 6 4:30 pm Jewel’s house 1585 E 8th st.

The minutes of our September meeting were approved.

Financial--our balance is $ 555.80.  Steve Johnson made a $500.00 donation to the society. (Bless his heart!!)
Tom Paley got his guarantee of $150.00 we had a net profit of 37.08  which we split with him.
20 people attended the house concert on Oct. 21.  Kansas and Steve Johnson  donated refreshments at the concert.

We were represented by several members at the grand opening of the Oktoberfest on Sept. 30. It was a good way to network with the local art community.  We were listed in the brochures and on the web site of the Chico Friends of the Arts.. We gained two new members who found us there.  These people have also presented house concerts..

Tina has agreed to attend the Folk Alliance Conference on Nov  17-19 in Rancho Cordova. She was given some BFMS business cards to distribute there on our behalf.

Kansas wonders why we are not thriving. We have so much competition.  It is hard for us to compete here. Steve O’Brien was willing to schedule his show this weekend so as to not conflict with our time.  We have been reduced in our ability by so many others presenting folk music.

Kansas wonders if we are addressing our stated goals and "mission statement" and by-laws. Bob Lofaso wonders what our agreed purpose is. We agreed to bring copies of the by-laws for the next meeting, and also they are posted on our web site.  There was a Chico couple who put on a series of house concerts for 3 years, and their attendance was falling, so they stopped.  Jim and Janice Williams have had several successful concerts at their house.  Tina recommends we conduct a workshop or a more educational type presentation.  It was stated that we should promote education and include younger musicians.  Darla believes that this is in line with our Goals and mission.  Tina recommended that people be encouraged to bring printed copies of music to share when attending one of our jam sessions.  Laurel recommends that we choose a theme for the music to be based on each month, and announce the theme at the prior month’s jam.

The CBA (California Bluegrass Association) has a lending library for instruments, and Frank Sollivan conducts lessons and performances by the Kids on Bluegrass. The Old Time Fiddlers also encourage children to play, learn, and compete. Sid Lewis has the acoustic college and teaches “jamming” at many festivals. Darla told about an article she saw about an after school music program at a local school.  (Chico Country Day School?) Perhaps we could hold a similar class or workshop under the auspices of the Recreation CARD center. Nancy Pyle might be able to lead a music session or conduct a class like she does for Butte College.

Steve mentioned that a leader in the Grange association suggested that we might be able to join the Grange in Chico and use that facility for concerts and events.  Laurel has been a member of the local Concow Grange for over 20 years, and several years ago some BFMS members did join the local Grange. Their hall is beautiful and is located near East avenue and highway 32.

Kansas reminded us that Utah Phillips wanted to encourage us to do things as a community and for the community.  Perhaps we could do a benefit for a community service organization such as the peace and justice center or the Jesus center. He recommended bringing a group called “those darn accordions”.

David Grisman does a blue grass experience show with educational focus on bluegrass music.

Tina resigns as president...we thanked her for her years of service and welcomed her to remain as a board “member at large”.  Elections are due soon and will be discussed in our next meeting.

This Saturday Oct. 28 in Cohasset will be the last open mike for this year hosted by Johnny Wahl.

Laurel mentions her RTVF class at Butte College is putting on a fund raiser on Sat. Oct. 28th at 7 p.m. at the Paradise Performing Arts Center. There will be 2 Blues Bands & a Costume Contest. This is a benefit for new camera equipment for the T.V. video production classes. This class has Video Recorded our concerts by Radim Zenkl and Garnet Rogers concerts.

Bernie and Bob Lofaso  new business--Prime Timers --Osher Life Long Learning Institute a Continuing Education program at Chico State for retired folks and people over 60 would like to have someone lead a jam at Sunrise Terrace Lodge...near Bruce Road and Highway 32.

This would be at a different time than our BFMS Jam, it would be free venue...no charge, no fee Steve offers he might come on a week night. There is a banjo player who regularly attends our First Saturday jams. Harold suggests he would come. Laurel mentions to hold this on the third Saturday might be a good time.  We do agree as a group to support this endeavor, but many of us do not have the time to take it on.  Apparently the “Institute” does have a budget, it was suggested that it would be more likely to happen if the song leader could be compensated.

Nancy Pyle is dedicated to music and recreation with seniors, but would not be able to do this without making it worth her time.

Correspondence--the Folk Alliance FAR West conference will be near Sacramento on Nov. 17 - 19. We should send a rep.

Old business--Laurel delivered 5 copies of a sampler c.d. of Tom Paley's music to promote the Oct. 21 concert to be distributed to KCHO, KZFR .  Laurel will receive replacement c.d's. We can use this at the opening of the Oktoberfest on Sept. 30. We have been included in the opening festivities of the Friends of the Arts on Sept. 30 as they celebrate the beginning of the Oktoberfest activities. We can have a booth with our banner and flyers and sell tickets to the Tom Paley concert and perform live music. Shelley expresses concern that our ticket prices are too high. 

New business--Harried's Music will be having a grand opening on September 23 , they are dealers for Fender, Ovation and other guitars. We may participate is some way.

Kinko's gives a 10% discount for non-profit organizations. We will get this from now on.

We have aligned with the Rise Up Singing organization and will have a link on our web page which allows us a percentage benefit from any members who subscribe to Sing Out! magazine thru us.

Darla recommends that we not produce anymore concerts for the rest of the year. 

It was decided that we hold a First Annual Holiday Party at Shelley's house at 1574 Vallambrosa.  This will be a Sing For Your Supper event, as Steve and Lorraine have mentioned several times.  Each participant will be encouraged to bring food or music to share, or both. This will be on Sunday December 17.

Bookings--More info on the Oct. 21 house concert indoors at Jewel and Mark's House was discussed. Permission has been obtained from the performer, the host house and the society to video and audio record the event.  Laurel will make arrangements for this. Kansas will provide the refreshments.  Judy Fox, Shelley Connoly and Bob Harrison have all offered to help house Tom Paley. During his time here.

The minutes of the meeting of 3-29-06 were approved and seconded.

We discussed garnet rogers concert—and video…we did not break even. Garnet donated some c.d.’s for radio play and verbally gave us permission to sell the video.

Kenny recommended that he has an application for the Thursday night market and we could have a rotating musicians performance . He will approach the market directors.

Intents Events is a source of renting stage...they provided the stage at Chico market cafe' where long lonesome road played. There is also a stage for less cost available from Bob Trausch at Riparia.

Steve and Lorraine local music fund raiser...sing for your supper

Cohasset will start to have jams last Saturday of every month. An Open mike will be set up 7 - 10-30. It is 3 miles past the cohasset store on the right at the community association .

The last time we hired a local musician to open for another act might have been 5 years or more ago, when hawks and eagles opened for Mary MCCaslin. for members...we might ask if they are musicians...on the membership form

We need to find ways to reduce our costs and improve our income. I am suggesting that we include an ad page in the newsletter. Steve suggests that we have a 50/50 raffle.

Chico has been one of the top 10 or 100 communities in the arts, and we hope that the city will want to promote arts and arts organizations.  I recommend again that we partner with the Chico Arts Commission and Friends of the Arts

And pursue The Transient Occupancy Tax. JEANNE THATCHER was not able to come but will  be able to come on wed. Some venues might ask us if we have insurance policy.

A member who recently joined suggested we check out the trinity Methodist church.

We can offer our information to community calendar on KHSL, KNVN or Chico State campus e-mail. Shelley mentioned some advertising ideas about how to get our word out with advertising ideas and printing possiblities thru CSUC.

Jewel says that this summer parking will be possible by her house but next year construction will make that difficult in 2007.

Judy Fox has offered to be in charge of the refreshments for Garnet Rogers. 345-5560 is judy's #

There is a list of concert producers duties, which can be looked at for old business next time.

There is a list of poster places which will be handed to people who are asked to post them.

Shelley is offering to help with posters.

Kansas hopes that we will have as old business updating the membership lists, calling tree, member e-mail, etc.

  For 190 2X3 from $240 for 1/5 page placed on the events calendar page. we have done this.

Harvey Reid donated his stool to us he got it at Ikea and did not need to take it back on the plane, it is with Ben.

Jeanne Thatcher was previously a member of the Chico Jazz Society along with Miles Jordan and Jim Schmidt.  From 1980-1990 the held monthly gigs At the Holiday Inn.  Their organization is no longer active, funds from it May be available to be shared with BFMS.  We were instrumental in Chasing this money down and initiating procedures to funnel it into music projects and prevent it from being absorbed by the State.  She supports live music and wants to join our organization. She is willing to serve on the Board.
It was suggested that in order to determine which of our out reach methods Are most effective, we should try to poll concert attendees to find out how
they heard about the event.  Jeanne says she can meet and greet them.

Kansas reflects about the fact that many members were notified by phone Tree about this meeting, potluck and jam, and wonders why few chose to attend.
FOLK ALLIANCE-this organization will be holding a conference Nov. 17-19 .
The FAR West Regional Folk Alliance event will be in Rancho Cordova and We should send some representatives to it. There will be lots of artists, and Presenters and promoters as well as recording companies and broadcasters . There and it will be good to network will all of them.

Newsletter - it was mentioned that we should print up extra newsletters to be offered at concerts and jams to help people learn about the organization, since there is a membership form included they will more easily be able to join us. Laurel printed up flyers advertising the jam, these were distributed to members, And will be included in future newsletters.

Bookings - Garnet Rogers has agreed to have the Butte College Video class   film his performance on April 8.  He is requesting that we encourage folks to donate food to a food bank when they come to his concert.  We will decide which organization is the best one for this. It could possibly be the Salvation Army or Gleaners. To be determined.  Some people from out of town have been Expressing interest in coming to his concert. Kansas has proposed that we purchase an ad in the Chico News and Review for Garnet’s show in April.  It would be $196 for a 2” X 3” ad. This would need to bring in at least 10-15 people in order to make it worth it. Determine time and place for next meeting –Wed. March 29, 7:00, Tina’s house, 839 Grass St, off of Meadow

Old Business
We need to remember to promote future jams and concerts at each event.
We did not do as much of this as we could for our upcoming events of Harvey Reid and Garnet Rogers at the Utah Phillps concert.
For the Utah Phillips concert we sold 259 tickets and there were 30 volunteers who attended.

New Business
The former "Bean Scene" is open again under new management. They have been asked about hosting live music events. No decision made on this. They are in the process of getting their liquor license. "Wait and see"

We need to be clear about our prices when we print and publicize ticket information so that there is no way that patrons or members can misconstrue the amounts. It was recommended that we state the amounts in this way:
Tickets $18 in advance, $20 at the door, (for instance) and mention member prices with discounts as well printing and copies...Kansas proposes that he might get a color copier and offer to help with this. Nancy already does designing and printing for us.

Chico Jazz Society funds...we worked on determining the amount available from their funds, this involved numerous contacts with Wells Fargo Bank and the California State agencies. Recently three founders of the Society and Miles Jordan acquired $2,653.00.  We once thought that this money would be transferred to the Folk Music Society. Not known where it went.  

Other venues...there is a benefit by Mossy Creek at  Matthew's Cafe at the Almond Orchard shopping center. Darla wonders if anyone has been to that place. None had.

Dick Woodrich, a Chico resident who is in one or more bluegrass bands that we have presented  in concert, will have a wedding on April 16th and there will be several blue grass musicians attending and he wondered if we might organize a concert for them all on April 15th. The women's  club will be the wedding location, and is not available for the concert due to decorating the night  before. We also are holding an event the week before, and this seemed like too much for us to do. The musicians will be Laurie Lewis, Chris Brashears, Peter McLaughlin among others.

Alice Stuart would like to play in Chico.
Todd Green -- Several attended his concert and watched his video and agreed it was not “acoustic"enough to suit our style, as he uses electronic effects.
Horse Sense is the name of the group that Nancy (Borsdorf) Bray now plays with Justin Smith. They were at the Christmas Crafts fair and we might want to book them.

Financial report - We have $771.56 in the bank.

We lost $333.10 on the David Mallet Concert in October. Jamie Laval, scheduled to perform in Nov. 11, was cancelled. Jamie was difficult to connect with due to his traveling, and we did not receive promotional materials in time for this show. $50 – 100 was spent on printing posters and tickets.  He will be in the area again in June if we want to try to produce a concert then.

Correspondence- WE rec’d promo packs from Jamie Laval, Margaret Christl, Lou and Peter Berryman, and others.

Old business - We are still in the process of creating an account at Kinko’s so that board members can make copies of newsletters, posters and tickets. We submitted a form with a list of eligible members, but since that their procedure has changed and we need to submit again via the web.

New business - Venues
It is possible that the Bean Scene will be opening again soon.  This venue worked well for us for concerts and jams when they were open in the past. Several members went to Teaz Me to see if it would work for us to hold events in, As discussed. They determined that the shape of the room was less than ideal. Café Flo has been hosting music, but we decided it wouldn’t hold enough people. The Blue Room would be a good place to hold concerts. The access by elevator is not very convenient for people who are not able to climb the stairs.

Darla mentioned that there was an article about her in the Buzz. She wanted to know how many of us had seen it.  She wondered if that newspaper reached many people, and if it was a good medium for us to advertise in.  We decided we need to think about media out reach and look at how we announce events. Tina asked about hiring local musicians and bands. It was suggested that we Have Steve Johnson and he preferred to do an opening, not a whole evening. We will try to have him as a warm up for a future concert.

The Winter Issue of the Newsletter arrived thanks to Editor/Webmaster Bob Harrison, And had labels and stamps added thanks to Judy Fox, Had inserted Flyers made by Nancy Pyle, and contained articles by several board members. It was mailed out in time to get to everyone before the next Concert.

Bookings—Danny Carnahan called Larry. He suggested that Steve O’Brien might want to book them. (Wake the Dead) Laurel has been in touch with Peter Oliva who would like to play here in Feb. But I will see if he can do it in March. Here are a few dates and possible musicians for 2006:

Darla has asked David Guzetti to be the M.C. and he agreed to do that and bring snacks For back stage. The contract states that the Peace and Justice Center will get a guaranteed $500.oo and Utah is interested in meeting with their board while in town. We will be reimbursed from the gross take at the door. The venue will be available for set up at 4. All hands on deck.

Todd Green is interested in playing in Chico...several of us previewed his performance at Oroville State Theatre a few months ago. He is an accomplished player, but not strictly acoustic, as he uses electronic effects and creates "loops" to accompany himself.

Steve will host the jam on the first Saturday of Sept. -there will be no cancellation due to Labor Day weekend or Strawberry music festival.

Laurel distributed BFMS business cards to all board members to use for contacting artists who we might like to present in concert.

New Business--
Judy requested that each board member be responsible for gathering 3 items to be donated to the silent auction, in conjunction with the Peace Center benefit on December 3 during the Utah Phillips concert.

Laurel recommends that we look into expanding our focus to include Storytelling, and Spoken Word presentations. Darla mantions that poetry is gaining popularity, and that we might also include this. There are several Festivals and "Tell-a-Thons"  which feature story telling and our "sister" organization,
on the East Coast, the Baltimore Folk Music Society (BFMS) features music and dance and story-telling.

Newsletter--
It was agreed that we should not compile an entire newsletter for the September concert, but send a postcard, leaving the newsletter for announcing the December concert, when we need to fill more seats.

Radio programmers from KCHO/KFPR, KZFR and KRBS will be invited to join us at Tina's house for a "meet and greet" event to make contact and network to promote exchange between them and BFMS.

Tina will research a restaurant, Nash's, in prepartaion for holding concerts there. She will preview the venue with Dave Cowan to assess the acoustics there.

  Financial report--We have $1,075.87 in the checking account. IIt was mentioned that we accidentally paid Amy Martin an extra $130. Darla donated that amount back to BFMS. We voted to re-imburse her, but she declined the offer. The last 6 concerts brought in total added funds of $260 to BFMS.

Steve would like to have copies of the BFMS business card.
Tina had a master made up, and it is not known who got copies.  There were to be some copied and distributed. Judy was not here to report on that project's outcome.

Laurel made some make-shift ones and passed out in April. and will re-do this using the template that Tina had designed.

Darla mentioned that for $400-500 per year we can get KZFR sponsorship for which we get mentioned 3-4 times per day. (not sure on that frequency?) Non-profits get 25% discount. October-November and December may be the good time for this. Kansas recommended that we become underwriters.

We are still working on updating the kinko's account. Forms were to have been delivered to authorize people to print there.

 

New Business-

Tina proposed that we hold a barbeque and invite area radio programmers iin order to get to know them, and them us. She offered her house/patio/yard for this event and the date was set for Saturday, Aug. 27.  Yet to be determined: menu, who provides food and drink, and who will be invited.  the main focus was on KZFR, but KCHO and KRBS will be included, too.

There was mention of "visiting musicians" area in Studio A (not sure what this refers to)

It was briefly announced about a "sing for your supper" pot luck involving 3 houses on Kiefer Road. details?

Moxie's--it was recommended that we suggest tall stools for the performers who plkay there so they can be seen better in the back of the room. We should always remember to post a person to watch the back door and a sign on the door describing that there is a performance in progress.

Camp-out-the fifth annual folk music camp out will be held at Lake Concow campground the first weekend in June.

Monthly jam--is scheduled for the same time and both events will be held simultaneously.

Making c.d.'s -  in the past we have made sampler discs for promoting the artists we present. Some funds have been spent on getting this done in a studio. It was agreed that we have the expertise and facilities among ourselves to produce these. The society can provide the raw materials (discs) for this.

Member's performances--Steve Johnson will be playaing at 5th street steak house 5th and Normal May 27

Bookings--sept concert--Tina is in contact with 2 performers she wants to do a double bill show Brad Davis and Chuck McCabe (possibly with John Montgomery) She hopes that they can do a Friday night performance and Sat. workshops. There is a possibility of using classrooms where she teaches for the workshops.

Dec. concert--Sat. Dec. 3, Utah Phillips-Darla has been working on this..it will be  a peace center benefit. Location is at 1st congregational church where there is room for 250 with chairs. Cost for hall $150, for stage $150, for kitchen $40 and Utah requests a double hotel room.

  We did not review the minutes of the last meeting.

We did not have a financial report, though the concert we held on Thurs. Feb. 17, John Reischmann and the Jaybirds was about $30 in the "hole" after expenses. If we could have just gotten a couple of more paid admissions we would have covered it.

  We introduced each other around the room, and people offered to serve as board members for 2005.  There was a unanimous vote for these officers in these positions:

North Valley Productions, Sierra Nevada (Big Room) and Steve O'Brien (Irish music) are all bringing music to the area.  We often advertise their events in our calendar, and would hope that they would reciprocate.  Here are the upcoming shows we are working on:

Minutes of Butte Folk Music Society Meeting September 29, 2004

Meeting was changed to Darla's house due to Tina taking care of her sick daughter.

Larry presided over the meeting in the absence of the president (chairperson). The Minutes of our last meeting which were taken and recorded by Susi were submitted. They were approved by Darla, seconded by Laurel and all voted to accept them as read.

Financial report: we have $873.10 in the treasury

A membership list was presented to each board member from membership chairperson, Susi. Everyone was asked to look for alternative locations to use for venues as we received news that the Bean Scene may be closing in October.  Darla called them, and they did say they would be open on the afternoon of Saturday Oct. 2, so our monthly acoustic jam will be on.

The Irish band that was scheduled to be there on Oct 23 will be re-located to another venue.
(*Editor's note: Darla made arrangements for the Oisre performance to be held at Moxies
at 7:30, Saturday, Oct. 23. The word came in the day after the meeting.)

(*other editor's note...the Bean Scene was NOT open on Oct. 2, although we held the jam outside at the patio tables, and three new prospective members found us and joined in.)

The deadline for submitting articles to the newsletter was a few days before the meeting, and Bob completed the master copy and it was delivered to Darla for printing.

Laurel reminded everyone that the Folk Society gets a percentage from orders from Musician's Friend catalog and web page.  We need to access them through our web site in order for the society to receive the benefits of this affiliates program. We currently have $36.95 in our account there, and at 5% with $261.00 more purchases we will reach the minimum threshold of $50.00 and they will send us out our check.

Laurel recommended that we combine efforts with the Arts Council and maintain a presence on this board in the city of Chico.  There is also an organization called Friends of the Arts which might be able to work with us to improve our status.

Johnny McDonald, a fiddler from Quincy, sent us information about a banjo/concertina player Bertram Levy who will be in the area in late march.  We decided this date was too close to another show we are doing.

We are looking at a booking for March 19 performance with Utah Phillips in conjunction with the Peace Center.

Tina Brennan called the meeting to order. There were no minutes.

Susi reported we currently have 74 members. Suggestions were made for the membership roster to be maintained by the board.

 

Darla reported the current balance to be $983.54. A bill for $37.00 for stamps has been submitted.

Bob needs submissions for the newsletter. Any help is appreciated on this. Send them to Bob. Deadline for this issue is September 26.

 

Next acoustic jam is on September 11 and then will be on the first Saturday of each month, organized by Steve.

 

Discussion followed abut future concert plans. Larry announced that Radim Zenkl will be at the Bean Scene November 7 7:00 - 10:00 PM, $500.00 guarantee and $13 - 15 ticket price.

 

Other concerts in the works are Laurel, Utah Phillips, March 19, $1,000 and Laurel, Wake the Dead February 27, $1,500 - 2000.

Webmaster's Report: The web is doing fine and Bob reports that the 2004 festival guide is up to date with all festivals that have a date set. Laurel wondered if there is a link to the San Francisco Folk Society on our web page. Duane checked and did not see one. There was a Folk Alliance link that did not work when it was tried. We should add them to are links page.

 

Old Business: The membership meeting will be held on February 15,2004 from 2PM onward at Jewel Barbour's house. The address is 1585 E 8th Street in Chico. It will be a potluck, election and picking party. The potluck will start at 2PM with a short meeting to follow and then the jam.

 

Newsletter: We will try to have the newsletter out by March 1,2004. Article submission deadline is February 28,2004. Ben will include an article about Pete's legacy, in an effort to promote the continued support of the Folk Society.

 

New Business: Susi was asked to give a brief statement as to how she became involved. She was trained in classical violin, and then learned autoharp, ukulele, guitar and became the church organist. She is a registered nurse. She met Darla and Grant at a Fallon, Nevada festival and become connected to the Folk Society through them.

 

Long Lonesome Road will be at the Bean Scene March 2, 2004 at 7:30 pm. They will be joined by Laurie Lewis. Larry Crisman is handling the details with Dick Wodrich.

 

Harvey Reid will be at Moxie's January 24,2004 at 8pm. Christina is doing a 250 word preview in the News and Review. Darla is doing a phone interview on the 21st from KZFR.

Laurel mentioned her radio show on KRBS is Saturday January 17th from 2pm - 4pm.

 

Membership Phone Tree: In an effort to increase attendance to the February 15th meeting, we are going to do a phone tree. We will also remind members of the Jam February 7th at the Bean Scene.

 

Saturday January 23, the South Austin Jug Band will be at Bernie's Guitar Shop in Redding.

 

Laurel will be doing the camp out at Lake Concow again in June.

 

Contra Dance: The Redding area will be doing it's first ever Contra Dance January 31st. The caller will be Erik Hoffman.

 

Chico's will be Sunday February 8th 5:30- 9pm, with a 30 minute workshop prior to it beginning.

 

Nevada City will have one Saturday February 7th. It will hold and extensive workshop from 5 - 6:30pm with the dance from 8 - 11pm.

Minutes of the Board of Directors and General Membership Meeting December 18, 2004

Ben called the meeting to order. The November minutes were read and approved

Treasure's Report: We have $659.43 in the checking account, with three memberships to be deposited for an additional $50. Washington Mutual let us know about some changes to the account. Now it will be free checking with no minimum balance.

The Tim Rued concert in Chico at the Women's club had twenty two attendance. Unfortunately the Paradise concert had only one. He did play at the Contra Dance with forty four present and he was well received.

Webmaster's Report: The web is up to date.

Old Business: Darla read her letter to the Clarridge Family. It was well stated correctly and politely with many valid concerns.

Kansas continued his discussion about the future of the BFMS. Some voiced concerns were "what do we need to do to make the Folk Society more Vibrant. A lot of charity goes into the production of concerts without much fruits for the labors. Darla felt that every organization would like to have the track record of Sierra Nevada. Duane felt the interaction among members is not felt like a ritual the way it is in Bluegrass.

New Business: Darla brought out the fact that Pacific Crest was not a BFMS sponsored event, to clarify the perception giving by the article by Ben.

We will use the January meeting to set the membership meeting. We will call it a potluck, election, jam meeting, with it not being conducted as a board meeting. Ben will break up the membership list to provide a phone tree list for each of us.

Bookings: Harvey Reid  agreed to 70% of the door with no guarantee. He is bringing his own sound system, and will be at Moxies Saturday January 24th, 2004.

Long Lonesome Road will be here on March 2, 2004. The location is still not finalized.

Treasurer's Report: We have $728.32 in the checking account.

The Clarridge Family concert brought in $330 at the gate. We had a verbal agreement of a $350 guarantee. We had expenses of $139.41 for a net loss of $159.41.

Dave Cowen originally agreed to $100 for sound but when the concert went from a three person to a five person, Dave had to charge $125. We have not received a check from Musicians Friend at this time.

 

Darla will send copies of the review to them and include a letter stating that they were hard to get a hold of and they sent no contract or promo pack, in an effort to help them be aware of areas that need improvement.

 

Webmaster's Report: The web is doing fine, but Bob Harrison stated that he would not run for re-election to the Board of Directors, but he would be willing to do the web and the Newsletter.

 

New Business: Clive Gregson fell and broke some bones, so he had to cancel his tour. We will send a get well card.

Utah Phillips is in the hospital and we will also send him a get well card.

 

We need to promote the membership meeting in the next newsletter, as it will be the last issue before the elections.

 

Kansas wants input on the future of the Folk Music Society. Our music tastes are not main stream and he wonders how to promote the music and the Society. Darla responded that we lend support to local acoustic musicians, in hopes that they would do the same to us, although it hasn't worked out that way. Bob doesn't think there is much hope for the Society and I tend to agree. Ben stated that he is moving into the political and video production end of things, and will not be promoting music as heavily at the Greenhouse.

The Tim Rued concerts set for Saturday December 13, 2003 from 1-4pm at the Women's Club in Chico and Sunday December 14, 2003 from 1-4pm at the Oddfellows Hall in Paradise have been agreed by the Board to be "Sponsored By" the BFMS, with no financial commitment. Laurel is providing the support for these concerts herself. With such an undertaking it is unlikely that there will be any extra funds to go to the Folk Society. I say no risk, no reward.

 

Dick Wodrich  has arranged for Long Lonesome Road to be in town Monday March 1, 2004. They have been discussing Moxies and the Bean Scene with Larry Crisman. The Bean Scene is the larger of the two venues and it seems to be doing well in music promotions. Larry will inform us as it progresses.

 

Manoj' Cheevers, a locally new Irish Music performer wants to be involved in any St Patrick's Day events.

 

Laurel would like us to consider a Cowboy theme event in the spring.

Meeting called to order by Benjamin, Chairperson. Acting secretary for this meeting is Darla Novak.

Treasurer's Report: The checkbook shows a balance of $930.13. There are 2 new memberships in the amount of $30 to be deposited (not reflected in the checking balance).

Clive Gregson concert report: Benjamin reported that there was a very poor response and low turn out for the concert. Expenses included $225 guarantee (Gregson) and $50 sound (Jimmy Bunch); the gate income was $144. Net loss for the concert was $131.00.

J. Bunch did a good sound reinforcement for the evening.

Benjamin expressed his disappointment and frustration in trying to get folks to attend even though he spent much time in contacting and promoting the Gregson music. He stated he will not produce another concert for BFMS at the Green House. He will follow through on his commitment as Chairperson until February 2004 (election time), then will not ran for the position again. He is uncertain at this time if he will continue as a board member after that time.

Clarridge Family Fiddlers concert (upcoming): Slated for Friday, November 14, 7:30 PM at Moxie's with sound reinforcement by Small Town Sound. Rich Reiner and Rebecca Herring will provide housing for the musicians. Larry Crisman will promote and outreach to music teachers in the area as well as hand out flyers at the fiddle contest in Red Bluff (if the flyers can be ready by that time). Darla will send publicity to all the usual newspapers and prepare the flyers (posters) to be posted at the various bulletin places. Laurel will also help distribute flyers/handouts.

Harvey Reid (upcoming): Saturday, January 24, 2004, is booked at Moxie's for Harvey. Benjamin agreed to handle the financial arrangements with Reid; Darla agreed to arrange sound reinforcement (possibly provided by Harvey).

Musicians' Friend report: So far there has been no commission check received by BFMS.

Membership: Laurel will try to update the records on her computer and the records she keeps. Darla provided an updated membership list (as far as the information she has) to Laurel, Larry, and Benjamin.

Newsletter deadline: Set the date of November 30, 2003, as the deadline for articles and calendar entries to be submitted to Bob Harrison for the newsletter.

Treasurer's Report: We have $981.84 in the checking account.

Web Master's Report: Bob will try to incorporate pictures and sound bytes on the home page. Darla was able to access the Musicians Friend affiliate site and reports that we have $10.54 credit. The checks will be issued in September.

World Music Festival: Kansas is scheduled to go to the festival Saturday and bring brochures to place at the main event table. It was decided that the newsletter would be a good choice for the hand out. 200 extra copies will be printed for distribution.

Darla’s production of Pacific Crest at Moxies did well. The band made $300 and it was well attended.

Old Business: Kinko's new cards have been applied for and we look forward to them.

Darla talked to the bank regarding the Jazz Society's funds. It was stated that what is needed to acquire the funds is a paper trail connecting BFMS with the Jazz Society directly. There is none, so our quest for the funds is ended.

Bookings: Clive Gregson’s posters are ready for placing. He has requested coffee and a manned CD table.

The Clarridge Family has been set for Moxies on November 14, 2003 at 8pm. Ben has requested a promo kit from them with no response as of yet. We will check with Dave Cowen about doing sound.

Laurel has suggested Margaret Crystal in November, sometime between the 5th to 15th, for a house concert.

Amy Martin did get a booking at Has Beans on October 24, 2003.

Ben will contact Steve Cook about a December house concert.

Has Beans will host the BFMS jam on October 4, 2003 from 2pm to 5PM

Caroling with the Sierra Club is set for the afternoon of December 13, 2003

The National Folk Alliance is having the western area regional conference at the Freight  and Salvage.

Don Shultz introduced himself as a past president, and gave a brief history of what he has been doing since he left the state.

Treasure's Report: We have $1000 in the checking account. We had one renewal over the summer. We paid $155.51 for printing 200 bumper stickers, which will sell for $2 each.

Old Business: Darla reported she hasn't gotten to the bank about the Jazz funds, but will try to. Bob tried to log on to the Musicians Friend account but was unsuccessful, so he requests that Darla tries it. He let us know he will be out of town for three weeks.

Chico World Music Festival, September 26-28, 2003. We will place a "Meet the Folk Society" brochure with membership applications and known bookings at the festival. Kansas has volunteered to be in person for some of the event for face-to-face contact.
The Crooked Jades concert at Moxies on August 9, 2003 sold 41 tickets, which isn't bad for an unknown to the area group.

Kinkos has a new billing system and the old cards will no longer work. We will get four new cards issued.

The audio for the Brian Bowers concert was found in the DAT machine at Laurel's house. Ben still can't find the video portion of the concert.

The June Campout was a success. A twenty-person core group came, and because it was a Mud Cat Cafe and Pal Talk event some came from farther away.

Bookings: Darla is producing Pacific Crest at Moxies, September 12, 2003. Advance tickets are $10. Come and hear Bluegrass from Bakersfield.

Clive Gregson is booked at the Greenhouse for October 12, 2003. Tickets are $9 and $11. We guaranteed him $225 plus 60% of the gate over $300.

The Clarridge Family on November 14, 2003. Darla voiced concerns about handicap access if it is held at the Greenhouse. Ben said he could build something, but it was also suggested that Moxies could draw a larger crowd. We can put out information on the concert at the Western Open in Red Bluff just prior to this event. Byron Berline will kick off the Open with a concert on October 18, 2003.

New Bookings: Long Lonesome Road would like to do an in town concert on March 1, 2004. Dick Wodward is talking to Moxies and the Big Room at the Brewery.

Beth Nielson Chapman has been talked to by Ben. He is thinking of February through April as a possible time, but hasn't discussed money yet.

Amy Martin is trying to get a booking October 23, 2003, and a KZFR show at that time.

Harvey Reid is looking at January 23 - 25 for a booking

Larry has passed out cards to a few musicians and he is waiting to get responses on those.

Webmaster: The sights and sounds page is being worked on. Jam pictures, concerts, and sound bytes
are being added. Darla indicated that she still can't add to the calendar. Bob stated that he would e-mail
Darla the codes to allow access. He asked to be notified if something is posted so he can check it out.
Bob also stated he would check our Musician's Friend account for income.

News and Review: The grid format in the News and Review has been discontinued. Feel free to write
and e-mail them to re-instate it. The best person to contact is "to the editor". His e-mail address is in
the paper.

Treasure's Report:
The current balance is $1294.80.
The Brian Bowers concert took in $327.00. Brian was paid $325. Jimmy was paid $50 for sound, and misc expenses were $18.54 for a loss of $67.

Old Business:
Darla still hasn't gotten to the bank about the Jazz funds.

Concert Concerns:
At the Brian Bowers concert concerns were raised about graphic jokes in the monolog. If we book some one with known off color selections we should specify in the contract that none will be used. Brian hasn't replied to Darla's e-mail yet. He wants a copy of the tape Ben made and will approve any video to be used.

DAT Recorder: Laurel and Ben will share the DAT recorder at Strawberry Music Festival. Ben lost his mic so they will need to purchase or borrow one.

Bumper Stickers: We can print the same design again, or change the color or design. Bob likes them the way they are. A motion was made to print two hundred of the current design, and was approved. They will sell for $2 each. Other fund raisers discussed were T-shirts, books, and patches. Large items were discouraged due to cost outlay and inventory.

June Jam:
The June jam will be at the Concow Camp Out. It will start Friday night June 6, 2003 at 5pm. No Jam will be scheduled for July - September. The Bean Scene seems to appreciate our jams there.



Bookings: Tim Rued has been asked to perform for the Swedish group in December. Laurel is hoping for a house concert at that time while he is here.

The Big Room will have Rhonda Vincent June 11, 2003
Asleep At The Wheel on July 2,2003 and the Waybacks on Sept 9, 2003.

Bill Stains will be in California in mid October, but we already have Clive Gregson booked on October 12, 2003.

Chairperson Benjamin Hills called the meeting to order. The minutes of the General Meeting were read and approved with these changes:
The Clarridge Family is spelled with an "a",  and the membership contest is changed to membership premium donated to KZFR.

Discussion: Jimmy Bunch seemed upset over fliers and the way he is relating to the Folk Society and Ben is going to talk to Jimmy about what is going on.

Old Business: Darla still hasn't met with Grace Mejia at Wells Fargo about the Jazz Society funds. It looks as if next week may work out for that meeting.

Treasurer's Report: The current balance is $1367.99. Membership from January until March totaled $430. Robin and Linda Williams concert grossed $1031. After expenses March's ending balance was $1304.16. BFMS mad an additional $109.82 profit from the Tony and Patrice concert. So far in April we have received an additional $105 in memberships.

Bumper Stickers: Darla is looking into the records to see where we ordered the bumper stickers. Once we have figured that out we will reorder more.

Events: San Francisco Free Folk Festival, June 21 and 22 at the Roosevelt Middle School. The Wild Iris Festival in Booneville at the fairgrounds, May 30th to June 1st. The  Folklife Festival with an Hawaiian theme on Saturday, July 26th. It will be at the North Columbia Schoolhouse Cultural Center.

E-mail contacts; Ben will e-mail the contact list to Laurel so she can update the membership list.

Bookings; The Brian Bowers concert is taken care of. Jimmy Bunch is doing the sound and if it doesn't go smoothly we won't use him again. Moxie's now has a spot light. Ben will stop by and check it out.

Wheel chair access was suggested for continued use of the Greenhouse for concerts. Ben is going to consider options.

Micheal Delalla is interested in a booking in Chico sometime in the future. Clive Gregson is booked for October 12th. The Clarridge Family is tentatively booked for November 14th at Moxie's. Tim Rued is a Nyckel Harpa player looking for a booking in December possibly around the 13th.

Larry suggested Laurie Lewis or Sylvia Herold, a well known Bay area singer from Cats-N-Jammers, for a Christmas concert. Other suggested performers in our price range are Robert Lowery, Del Rey, Terry Rob, Catfish Keith, and Rick Blaufield.

The Concow Campout will cost $3 per car for day use and $7 per car for overnight. The next Board meeting is set for May 15th, 7 PM at Ben's house. Meeting Adjourned

The minutes of the General Meeting were read and approved with these changes:

Treasurer's Report: Approximately $1100 in the checking account

Robin and Linda Williams grossed $1131. Sound was $150 and printing costs were
       
$15.44. The group made $231 over the guarantee of $500 for a total of $731.
   
     Butte Folk Music Society made $135 after all expenses.

 

Membership: Laurel reports there are lots of new people, totaling $135 for renewals. She also has designed a new Thank You for joining note. The membership premium donated to KZFR was won by John and Jenny Wahl of Cohasset. We have another membership premium available that we will use for the KCHO/KFPR membership drive. It was provided by Carl Ferre' and family. We also need the e-mail addresses updated for all members.

Web Master: The web is there and functioning. The link to Musicians Friend should be paying off with some income, maybe $7 or more.

Acoustic Jam: About 1/2 dozen people showed for the jam at the Bean Scene, and really enjoyed it. The next one is scheduled for April 5th from 2pm to 5pm. Kenny is having his open mikes at the Cohasset Community Center and would like out name on a four hour event on the second Saturday of the month. We have decided not to endorse it at this time, but instead provide support  through calendar entries and notification at the jams. We will notify our members of all jams happening.

Concow Lake Campout: Laurel is having the Concow Lake campout the first weekend in June the 6th-8th. She would also like it to be the location for the jam of the month. It will be a Mud Cat, Pal Talk and BFMS combined event.

Next Board Meetings: April 17th, at Benjamin Hills house at 7pm and May 15th, at Ben's house at 7pm.

Old Business: The Jazz Society funds will be checked out after the tax season. The ball lies in Larry and Darla's court.

New Business: Ben contacted Epson about their giving program which provides equipment donations to qualified organizations. We seem to qualify. He is interested in video equipment donations. Ben made up a letterhead for the correspondence and will provide some copies for other uses.

Newsletter: Doing a newsletter before summer break was discussed and we elected to send a one page flier to announce upcoming events and jams by May 30th.

Bookings: Bryan Bowers is set for April 20th, 7pm at Moxies. Darla will provide a write up for the News and Review and the Buzz by April 7th. She will get it to Ben and Kansas for distribution.

  Tony Marcus and Patrice Haan are at Moxies on April 5th at 8pm. The guarantee is $250 and sound is $75. We need to sell 35 tickets to cover expenses. Larry provided information to various outlets and Jazz programs.

The Clarridge Family: Tentatively set for November 14th. They would prefer $300 but $250 could work. Ticket prices will be around $10.

Chairperson Benjamin Hills called the meeting to order. Each of the board members introduced himself/herself to the group. Following the bios, oral reports were given about the following:

Website: Bob Harrison said there has been an increase of hits on the web page and that the calendar is current. He also briefly outlined the procedure for ordering items from Musician's Friend so that BFMS benefits from the order.

Treasurer's Report: Ben gave an overview of the past year's financial activity. A total of 5 concerts for the year resulted in a net profit of $98:

A listing of the venues used included the Acoustic Greenhouse, the Garden Stage (J. Barbour's), Moxie's Cafe, and the Chico Women's Club. Kenny Cartledge suggested that BFMS consider using the Cohasset Association Community Center as a venue. He organizes an open n-tic the first Saturday of each month beginning at 6 PM there.

Acoustic Jam: Discussion focused on a consistent location for this event. The new coffee shop and gallery, The Bean Scene, seems a likely venue to hold the jam the. first Saturday of each month. Jimmy Bunch will check with the management and make arrangements to hold the jam there. He will also coordinate the publicity for the event.

Other suggestions included a spring picnic/jam at One Mile in Bidwell Park and a camp out at Concow Lake in the future.

Bookings: Robin & Linda Williams & Their Fine Group are booked for March 1 at Moxie's.

Larry has booked Tony Marcus and Patrice Hann for an April 5, 8 PM, date at Moxie's. They agreed to a $250 guarantee. Their repertoire includes swing and jazz standards with guitar, vocals, violin, viola, and Celtic harp.

Bryan Bowers is booked for April 20, 7 PM, at Moxie's.

Ben has a tentative booking with Clive Gregson, singer/songwriter from New England, for Oct. 11 or 12, 2003. Bill Staines has sent a promo pack for our consideration.

The songwriting workshop with Dave Nachmanoff may be scheduled in the future if there is interest.

Elections: The past year's board members were agreeable to run again for another year with a switch in a couple of the offices (Darla Novak agreed to be Treasurer and Duane Thompson agreed to be Secretary, Bob Harrison agreed to Vice-Chair). Kansas Wortham consented to serve in one of the Members-at-Large positions.

No progress was reported on procuring Chico Jazz Society funds, which apparently have been abandoned. We believe we are eligible to acquire these funds from the state, as the society is disbanded, and we are researching transferring this account.

NEWSLETTER:

We will inform the folks on the e-mall list about the dead-line for the printed newsletter, so that everyone will have a chance to submit articles, events, reviews, etc. As many members will be out of town when the next newsletter needs to be sent out, David Longacre has offered to help with the mailing. Thanks!

Laurel proposes inviting everyone to submit information for a column reviewing music. This ran be for recordings, live shows, or books or movies with musical themes. Promote your favorite group, share news about upcoming performances, review a concert you have attended, describe a rare and unusual instrument that you enjoy, etc.

Also suggested by Laurel was to have a newsletter entry each month highlighting one of our members, including a short Bio., and sharing a little about what Folk Music Society members do at home, at work and at play.

Chairperson Benjamin Hills called the meeting to order. The Minutes of the November 21.2002 meeting were approved as written.

Treasurer's Report: Ben reported that the checking account balance (after the Long Lonesome Road concert) is $860. This amount includes the fees from two new memberships. The Long Lonesome Road concert grossed $784.00 with disbursements as follows: $520 to the band, $120 to Small Town Sound,  $144 to BFMS, (with approximately $10 spent at Kinko's for copying flyers). Dick Woodrich (of LLR) did most of tile printing of publicity for the concert.

Benjamin will compile a year-end concert/financial report for the January, 2003 meeting. This report is part of our necessary paperwork as a non-profit 503 (c) organization.

  Old Business: Jim Schmidt has the remaining existing paperwork for the Chico Jazz Society. He has been unable to find any record of their bank account number. In a conversation with Mike Painter who initially had the assignment from BFMS to investigate the acquisition of the Jazz Society funds, Darla was told that there is no way that BFMS will acquire those funds from the State. Mike concluded this after perusing the information about application for the funds from the CA State Controller's website. We discussed contacting a state representative from this area to find out a successful way to acquire these funds.

Laurel reported that the caroling event with the Sierra Club went well.

Bob Harrison successfully linked the BFMS website with Tricopolis Records of Lake Elsinore. CA.

New Business: The next deadline for the ‘Musical Notes’ newsletter will be January 15. Several of us will submit articles to Bob by that date. The General Membership Meeting and Elections on February 8 will be one of the featured articles. Also the March 1 concert with Robin & Linda Williams & Their Fine Group will be highlighted,

The magazine “The Room” was looked over by those present. Laurel stated that "Dirty Linen" and "Sing Out" were more comprehensive magazines for musician and finding information.

Benjamin called Musician's Friend to get catalogs for members lie will affix a sticker to each before distribution to members directing them to order from the BFMS website as we get a percentage kickback from each order ONLY FROM THE LINK FROM OUR WEBSITE.

Future of the Acoustic Jam: We will incorporate the Acoustic Jam with the General Membership Meeting on February 8. Venues discussed were the Bean Scene Coffeehouse, Higher Ground and Peet's Coffee. Benjamin will check out the spaces and secure a site for the meeting/jam.

Bookings: Robin & Linda Williams & Their Fine Group are booked for Match I at Moxie's. Their promotional pack has been received. Larry suggested that in the promotion Jimmy Gaudreau's musicianship and vocals should be emphasized as well as the old timey aspect of Jim Watson's music recordings.

Laurel is hoping to attract a Swedish music trio to Chico in August. We also briefly talked about the Clarridge Family Fiddlers who will be in Oroville for the fiddle contest. Larry is trying to secure Tony Marcus and Patrice Hann for an April 5 or 6 date at Moxie's.

Larry will help publicize David Parmley & Continental Divide at Moxie's on January 23. BFMS will not be involved as too many of our active board members will be out of town during that time.

Minutes of the Board of Directors Meeting November 21, 2002   

Board members present: Ben Hills. Duane Thompson, Larry Chrisman, Darla Novak. Laurel Paulson-Pierce. Absent: Bob Harrison.

Chairperson Benjamin Hills called the meeting to order. The minutes of the October 17, 2002 meeting were approved as written.

Treasurer's Report: Ben reported a balance of $767.00 in the checking account.
The telephone bill is costing us $40 for every 2 month interval. Since we use the phone minimally, we need to reduce this cost by finding a lower rate program or changing the service. Ben said he would work on this.

Membership Report: BFMS needs to make sure that all member information is current and correct. All members new and renewing need to get cards and information as soon is their application and fees are received.

Laurel has letters, bumper-stickers and cards to send to members. She needs a new computer and may be getting one before Christmas the the member info is inaccessible in her old computer. Perhaps remnants of an older member list may exist in Bob Harrison’s computer files and can be used to reconstruct sa new list if laurel loses the information or is unable to access the information. Duane Thompson has a program that can organize and extract the the information we need for a hard copy of the list.

Old Business: Larry Crisman states Jim Schmidt has the Chico Jazz Society paperwork, so Chico Jazz Society paperwork so he may be able to find records from their checking account. Larry talked with the Bank Manager of Wells Fargo, Gracie Mejia, abut trying to trace the account and the funds but she was unsuccessful in locating any account number, etc. Darla will take the State Controller paperwork to show Ms. Mejia and try to get some definitive plan of action.
   
         Benjamin said the BFMS Web site is working.
   
         The BFMS newsletter, Musical Notes, was out on time and full of articles. In fact, Bob had to edit a few of the articles for the hard copies, but included the full text in the online version.
   
         Laurel reported that Jean Woodbury of the Sierra Club wants all who plan to go caroling at the convalescent hospitals on December 14 to RSVP. The plan is to meet at Peggy DuFour’s for practice, then go sing for 3 hours, and return for a potluck at Peggy’s.
   
     Larry said the Sierra Club newsletter (with their calendar) can be picked up at the end of the month at some of the sport/outdoor equipment stores around town.

New Business: Laurel announced and supplied flyers for the Contra Dance on Dec. 8 at the Women's Club.
   
         Darla reported that a music vendor contacted at the Woodland Bluegrass Festival, Tricopolis Records, asked if we would like to link our website with his. BFMS DOD agreed. Darla will convey this info to Bob Harrison with the stipulation that Tricopolis also provide our like from that website.
   
         Benjamin mentioned a magazine ‘The Room’ published for people who perform at house concerts has pertinent information for organizations like us.
   
         A discussion took place regarding supplying our membership list with catalogs front Musician's Friend as we now have a working relationship with MF. Laurel stated that we should not lot our members be solicited by when they joined. Ben looked at this venture as another means of income for BFMS if members ordered from MF since BFMS would receive a percentage of the purchase amount. The conclusion was that those with E-mail could be asked if they wish to receive the catalog. Those without E-mail could be contacted by phone to learn their answer. Further discussion and action mav be needed.

Bookings: Robin & Linda Williams & Their fine Group are booked for March 1, 2003 at Moxie's Cafe & Gallery. The guarantee is $500 plus 70% of the gate over $700. Small Town Sound has another event that night but will try to also cover this event. Dave saiid to send him the tech specs so he can see what is needed. (Darla will notify Steve Schuman that BFMS has booked March 1.)
   
         Long Lonesome Road (bluegrass band) is booked at Moxie's for Sunday. December 15. 7:30PM. Small Town Sound has been hired $100 (more if the event makes money). Larry is producing and organizing the event. Posters and publicity articles supplied by Dick Woodrich are being distributed as required and delivered to the media by deadline dates. Larry will confirm with Moxie’s who checks should be written to (probably BFMS); Moxie's. Larrv, Duane, and Darla have tickets to sell. Tickets are $13 advance, $15 at the door. Larry will also inventory the chair count at Moxie's in case more are required.
   
         Other musicians discussed were Clive Gregson from England for a future booking, Harvey Reid trying to book January 24 in Chico not possible this time; Date Campbell from Mississippi, will be in California in January but BFMS not able to book because 2 board members will be out of town. Tom Marcus (member of the Cats & Jammers) and Patrice Hann may be abailable for a Chico performance on April 6, 2003. Larry will get more information including guarantee expectations, etc.

Minutes of the Board of Directors Meeting October 17, 2002

Chairperson Benjamin Hills called the meeting to order.  The minutes of the September 26, 2002, meeting were approved as written.

Treasurer’s Report:  Ben reported that there is over $800 (approx.) in the checking account.

Membership Report:  Laurel has updated the membership list, has printed one set of labels for the next newsletter, and has new member cards to send out.  Laurel and Duane will work on the list to make it concise and enable the “expiration” date to be printed on each label.

Old Business:  Larry Crisman is keeping in touch with Jim Schmidt of the defunct Chico Jazz Society in order to get a letter proclaiming that the organization is no longer in existence and, as a non-profit organization, must disperse its assets to another non-profit group.

Bob Harrison said the BFMS web site is running smoothly.

New Business:  The newsletter deadline is set for Sunday, Oct. 20.  Newsletter article topics were assigned or volunteered by those present.  Each of us will get the finished articles to Bob by the deadline.

Larry reported that Jean Woodbury of the Sierra Club annually organizes a Christmas caroling trip to several nursing homes.  This year it is scheduled for the afternoon of December 14. BFMS could be a part of the group.  After the nursing home performances, there will be a social time and jam at her home.  Everyone is invited.

Bookings:  Flyers for the Gordon Bok concert were handed out for posting in public areas. Benjamin reported that since there was no response at the announcement of the songwriting workshop in September he may try to reschedule one for mid-winter when there are fewer events happening.

Larry Crisman is producing/organizing the Long Lonesome Road Bluegrass Band concert at Moxie’s on December 15.  Small Town Sound has been hired for $100 (more if the finances are there).  Ron Stewart (guest fiddler for the band) is willing to do a phone interview with a reporter from The Synthesis (entertainment event newspaper).  BFMS should make at least $50; ticket prices are $13 BFMS & $15 general, to be sold at Moxie’s.

Bryan Bowers has settled for a $350 guarantee for his concert on Sunday, April 20 (at Moxie’s?).

The Clarridge Family Fiddlers haven’t called back; still a possible concert for March, 2003.

Janice Williams is hosting a workshop and concert with Harper Tasche  January 24-26.  She would like BFMS to help publicize the events.

The Dowden Sisters will be in N. California and are  looking for venues to play.

Debra Cowan, Michael DeLalla, and Andrew McKnight are hoping for a Chico concert date in March, 2003.

Laurel gave us a “heads up” for some Scandinavian bands/musicians that might be available in the future.

Benjamin is planning to schedule a concert in December with Scott Huckaby at his house (not a BFMS event).

Sid Lewis has moved his Acoustic College to Humboldt Studios and has scheduled a Student Showcase for Saturday, Oct. 16 with a potluck at 5PM.

Minutes of the Board of Directors Meeting September 26, 2002

Board members present: Ben Hills, Duane Thompson, Larry Crisman, Darla Novak, Laurel Paulson-Pierce. Absent: Bob Harrison.

Chairperson Benjamin Hills called the meeting to order. The minutes of the August 21, 2002, meeting were approved as written.

Treasurer's Report: Acting Treasurer Benjamin reported that the checkbook balance currently is at $862.93. Reporting on the Pint & Dale concert, Ben said that the day before the concert there were no advance reservations, so he called the Welchs and asked if he could use their house concert list to solicit some attendees. The Welches did share their e-mail list. In contacting those names Ben also declared the concert a "free event". By the night of the concert 22 people had committed to attending. The donations from attendees at the concert amounted to $163.00. Pint & Dale were paid $180. Sound tech Jimmy Bunch was paid $60, and the Kinko's bill (for publicity) was $15.57. The concert netted a $92.57 loss.

Membership Report: Laurel reported the list is not up to date and she needs to get her printer to be able to print labels for mailing. Duane Thompson will work with Laurel to install a program to update/maintain the member list and produce current list for the next meeting.

Old Business: Larry Crisman said that Jim Schmidt of the disbanded Chico Jazz Society stated that the CJS will need $300 to pay off a previous debt to the founder; if BFMS does succeed in securing the CJS funds we would be expected to hand over that amount to the appropriate person. Larry has checked the old address for the CJS (a post office box at Mailboxes ETC) and the account at Wells Fargo Bank which is classified as "inactive". Larry will continue to keep in contact with Schmidt until a letter can be received from him to include with the paperwork that BFMS needs to send to the CA State Controller's Office. On more successful concert attendance, we all need to collect and add more e-mall addresses to our notification list.  

Bookings: The Songwriting Workshop with Dave Nachmanoff will probably be cancelled because of lack of response. Ben is willing to resurrect it if there are any committed students in the next 2 days. Benjamin has contacted the Cartridge Family Fiddlers (talked to Tashina via telephone) and concluded that a date in March, 2003, is probably good since the Oroville Fiddle contest is late that month. Jan Clarridge is supposed to call BFMS back. Benjamin proposes to do a December, 2002, concert at his house, as yet artist unknown.

Other musical acts discussed were Pine Mountain Railroad (bluegrass) and Long Lonesome Road (bluegrass). Larry will contact each band, especially Long Lonesome Road as they are looking for a Chico booking on December 15.

New Business: The newsletter deadline is set for Sunday, Oct. 20 (depending on Bob Harrison being home to lay out the master). Each board member is to write an article and get it to Bob. The seating capability of Has Beans was discussed; no one knew the capacity. " The BFMS Acoustic Jam may not be scheduled until December.

Minutes of the Board of Directors Meeting August 21, 2002

Chairperson Benjamin Hills asked Vice Chair Duane Thompson to chair the meeting. Duane called the meeting to order. The minutes of the April 18, 2002, meeting were approved as written. Also the notes from the May 16, 2002 discussion (in lieu of a meeting with quorum) were read.

Treasurer's Report: Ben will continue as Treasurer for a while. The current checkbook balance is $959.00.

Old Business: Darla reported on our effort to secure the Chico Jazz Society funds through the California Controller's office. That office is requesting information to link our organization either with the old address of the Jazz Society or with the account at Wells Fargo Bank. Larry Crisman is maintaining contact with Jim Schmidt (former Jazz Society board member) and reported that Schmidt wanted to speak with other past board members about the situation. BFMS needs a definitive letter/directive from the Jazz Society that they are out of business and that their funds (assets) need to be passed on to another nonprofit agency (namely BFMS).

Bob Harrison reported that he had never heard back from the Chico Thursday Nite Farmers' Market manager about BFMS having a performing spot at one of the markets. In the future a personal contact with the manager might bring results.

Bookings: Pint & Dale are booked for September 13 for a garden concert in Jewel Barbour's backyard. The guarantee is $200 to 250 plus 70% of the gate over $300. Jimmy Bunch will provide equipment and be the sound technician. Ben is planning to do a 2-video camera shoot of the concert.

Dave Nachmanoff, singer-songwriter from Davis is lined up to do a Songwriting Workshop at Ben's on Sunday, September 29, 1 - 5 PM at a $35 per student fee. Publicity will be aired at some of the open mics in town.

Lee Ann Shayner is in full charge of the Gordon Bok concert on October 29 (Tuesday (?@ the Chico Women's Club). BFMS will "recommend" the concert and have the refreshment concession there.

Bryan Bowers, Autoharp musician, has booked a date with BFMS on Sunday, April 20, at a $250 guarantee. Concert venue may be at Moxie's.

Other musicians not contacted as yet are Paula Joy Welter, Clarridge Family Fiddlers. Fair Weather' (Duane Thompson's band), Kenny Blackwell    & Michael Darian +others, and Parsons-Green (Gene & Meridian).

New Business: BFMS as an organization needs to recruit new participants/members at concerts and at the Acoustic Jams.

Laurel was unable to attend this meeting because of a previous commitment to the Scooter's open mic/jam. She also has not updated the membership list and was non-committal because of her family obligations.

Minutes of the Board of Directors Meeting  March 14, 2002

Chairperson Benjamin Hills called the meeting to order. The minutes of the February 14, 2002, meeting were approved as written.

Treasurer's Report: Jimmy Bunch reported that the Chico Women's Club had sent BFMS a reimbursement of $50. This was our "riding deposit" on events at that venue but the CWC wanted to clear their books of such entries. Therefore, in the future if BFMS wants to secure a date at the Chico Women's Club, we will have to issue a deposit check to hold that date. The monthly report showed an opening balance on March I of $1210.33 plus income of $111.00 (above refund, memberships, and S. Cook concert) minus expenses $98.65 (General Mtg. Refreshments, telephone, and Kinko's) for a current balance on this date of $1222.68.

Membership Report: Laurel Paulson-Pierce has mailing supplies plus the new membership cards to to new and renewing members. She still has to determine who those are since the date she assumed the Membership position and search the list for those memberships expiring now.

Web Site: Bob Harrison now has the complete information for BFMS and will finish the application for partnership with Musicians' Friend tomorrow. The newsletter deadline is March 24, 2002, so each of us is encouraged to write an article and submit by the date.

New Business: A letter from Jay Rawlins pinpointed some problems with the Pickers & Singers Jam: 1) it is not organized well, 2) advertising should not only be by e-mail but in the newspapers; 3) is non-or low-attendance due to communication or loss of interest; and 4) would a name change be of value. The BOD discussed the issue and developed some pointed instruction for Jay. I) He is given authority for when, how, and where the event is held with full BFMS backing; 2) As the facilitator Jay wiII be asked how much and what he is willing to do; 3)The name will be changed to the BFMS Acoustic Jam to better reflect what the event is. The next BFMS Acoustic Jam is April 6 at Darla's, 456 E. Sacramento Ave., Chico.

Bookings& Upcoming Concerts: Benjamin handed out the Flinner-Grier-Phillips poster for the concert at Moxie's, The BOD severely critiqued the design including the non-readability of the phone numbers. BFMS has fronted the event $90 for publicity. Ben, Larry, Sid and Darla each have assignments for the publicity releases. The BFMS priorities as a co-producer are to get the PR costs reimbursed, to cover the guarantee, and to pay Jimmy Bunch $50 for the sound re-enforcement duties.

Bookings for next year will be addressed at the next meeting. Ben suggested Jim Hind who is a musician in the Jimmy Paige genre. Other ongoing upcoming concerts of other producers were mentioned including the Has Beans nights with Bob Harrison and Jimmy Bunch. Bill Bourne posters were also handed out for posting.

Chairperson Benjamin Hills called the meeting to order. The minutes of the January 10, 2002, meeting were approved as written.

Treasurer's Report: Jimmy Bunch prepared a 2001 Annual Treasurer's Report starting with a beginning balance of $820.29 showing in a synopsis the deposits, income, expenses, and summary. The Net Operating Balance for the year was $1357.91. He also prepared a monthly budget report which was a report from January I to February 10, 2002. The ending balance of the checking account was $1210.33.
   
Chairperson Benjamin Hills reported that during the past year up to Feb. 10 BFMS had 6 concerts that each netted a profit. During the year we also added assets which were a stage at the Acoustic Greenhouse, some lights, and some chairs.     He reminded us that we each need to contact 3 to 5 people each month to encourage to join/rejoin BFMS, attend our events, and collect their e-mall addresses for notification purposes.

Web Site: Bob Harrison, Web Master, reported that the website averages 8 to 10 hits per day. He is dismayed that there is no consistent updating of information from venues who in the past has posted to the site. Everyone agreed that every message from BFMS should have a hyperlink to the BFMS site. Bob is still planning to complete the procedures linking BFMS to the Musician's Friend affiliate program. Benjamin concluded this discussion by stating, "Nothing replaces face-to-face contact with each person.

Bookings: Darla Novak reported that Lui Collins is on tour in the area in mid-April; David Roth is seeking a mid-May booking; John Reischman & the Jaybirds are looking for a booking in early June after Strawberry.
   
Sid Lewis has booked Matt Flinner, David Grier, & Todd Phillips for March 26 at Moxie's; Sid and Joe Craven are booked for February 16 at the Chico Women's Club.
   
BFMS next house concert is April 5 with Canadian musician Bill Bourne at the Acoustic Greenhouse.
   
Other musicians board members would like to see booked are Jim Hind, Pint & Dale, David Jacob Strain, and Lui Collins (perhaps teamed with mandolin player Britt Smith).
   
In "co-sponsoring" with other entities, BFMS expects a member ticket discount. If the teaming with an entity is termed "supported by", then this does not denote a ticket discount for members.

New Business: Election of the new Board of Directors was limited by the number in attendance and the lack of people responding to run for positions. Bob Harrison nominated the current slate holding offices to be elected for another year. The nomination was seconded and passed unanimously.

Elected officers are for 2002: Chairperson-Benjamin Hills, Vice Chairperson-Duane Thompson, Secretary-Darla Novak, Treasurer-Jimmy Bunch (agreed to continue on a temporary basis until another person could be found to replace him), Members-At-Large: Larry Crisman, Bob Harrison, and Laurel Paulson-Pierce.

The next board meeting is set for Thursday, March 14, 7 PM, at Ben Hills, 545 W. 12th Ave., Chico.

Minutes of the Board of Directors Meeting January 10, 2002

Chairperson Benjamin Hills called the meeting to order. The minutes of the December 6, 2001, meeting were approved as written.

Treasurer's Report: Jimmy Bunch prepared a Monthly Budget Report that showed a beginning balance of $1183.04. Income was comprised of memberships totaling $118.00 and $105.00 net proceeds from the McCaslin concert;- total expenses for the month were $189.46. The ending bank balance was $1216.58

Bookings: The Steve Cook Band concert is sold out for Friday, January I 1, at the Acoustic Greenhouse. The band will receive 65 percent of the net income. Since the concert is tentatively "sold out" there was a brief discussion about having a second concert the following evening. Perhaps Steve Cook might be booked for a spring gig.  Some other musicians being considered are Del Rey, Paula Joy Welter, and Felicia Pint/William Dale. Other suggestions would be welcomed from our membership.

Benjamin has signed the contract with Bill Boune (booked for Friday, April 5, Acoustic Greenhouse) since he needs all paperwork in order to be able to enter the U.S. (from Canada) to work. The guarantee is $250 for his Chico performance.

Old Business: Bob Harrison will work on the paperwork with Musician's Friend for the "affiliate" program which will link them with our web page. Anyone ordering items from MF through the link from our page will result in a percentage being paid to BFMS.

The board recommended that the "What's Happening" section of the website should contain events for a 6- month time period. Anything older should be deleted. Bob also stated that he needs the entertainment information from Moxie's, Has Beans, Shadetree, North Valley Productions, and other venues on a continuing basis. Some of these venues only supply infon-nation sporadically.

New Business: The General Membership Meeting & Elections is tentatively set for Sunday, February 10, I - 5 PM, Humboldt Studios in conjunction with the Pickers & Singers lam. Ben will confer with Jay Rawlins who is now coordinating the P&S events. Some possible nominees for board positions were discussed.

Another perk that was discussed was to have a drawing for a "free membership" from the names of meeting attendees. No action was taken to approve this suggestion.

A motion was made, seconded, and approved for $30 to be designated for the refreshment budget for the General Membership Meeting.

Membership: Bob will continue to help Laurel set up the membership list on her computer. Laurel will be asked to print and mail postcards to the member list with information about the General Meeting & Elections and P&S.

The next board meeting is set for Thursday, March 14, 7 PM, at Ben's. tentatively set for the February meeting of the Pickers & Singers Jam.

Treasurer's Report: Jimmy Bunch prepared a Monthly Budget Report that showed an ending bank balance of $1 183.04. Income was-comprised of memberships totaling $70. Expenditures included $12 for Ben's (as house concert host) share of the Gilewitz concert, telephone bill of $23.41, and battery cost of $4.82 for the McCaslin concert.

The McCaslin concert had a gross income of $465. Expenses of that concert included $300 guarantee for the artist, $60 fee paid to Hawks & Eagles, and approximately $15 for publicity/copying/postage costs. Benjamin made a motion that Jimmy Bunch receive a $30 fee for his sound work at the concert. Darla seconded the motion. The motion passed unanimously.

Bookings: The Steve Cook Band is booked for Friday, January 11, at the Acoustic Greenhouse. Benjamin is still discussing with Cook the details of the financial arrangement. The general terms are 65 - 70% of the door for the band; the band will play 2 1 -hour sets per Steve Cook. Discussion continued about the logistics of the sound system to be used so there will be a high quality tape produced off the board and so there is a "gentle" control of the sound output. Ticket prices were set at $6 BFMS and $9 general.
Sid Lewis has relayed that his duo concert with Joe Craven is tentatively set for February 16 at the Chico Women's Club. He has asked for BFMS co-sponsorship (in name only - no financial obligation). The BOD approved this proposal.
Harvey Reid has not responded recently to the possibility of a Chico performance on his upcoming tour. BFMS will wait for him to make the next contact.

Membership/Newsletter: Bob Harrison Is assisting Laurel Paulson-Pierce, the Membership Chair, to set up the database in her computer. Fortunately Bob had the files set up in his computer at the time that Laurel's computer “ crashed” and lost what she had installed. He will send her the data once her system is up and running again. Bob will edit and compose the upcoming newsletter as well as print the labels for mailing. He will deliver, them to Duane to copy and collate and mail. Darla will buy and get the stamps to Duane.

New Business. Bob Harrison will work on the paperwork with Musician's Friend for the "affiliate" program which will link them with our web page. Anyone ordering items from MF through the link from our page will result in a Percentage being paid to BFMS. Benjamin will get details of what might be involved for BFMS to sell event tickets on Chicotickets.com

  website: Benjamin will continue to try to secure the funds of the defunct Chico Jazz Society by downloading an application from the State's website and filling it out, then submitting it for processing. Jimmy Bunch submitted his Letter of Resignation stating that he would not run for Treasurer at the next election although he will fill out this term.

The next board meeting is set for Thursday, January 10, 2002, 7:30PM at Ben's. Upcoming elections are tentatively set for the February meeting of the Pickers & Singers Jam.

Minutes of the Board of Directors Meeting November 12, 2001 Board members present: Ben Hills, Duane Thompson, Darla Novak, Jimmy Bunch, Bob Harrison, Laurel Paulson-Pierce.

Chairperson Benjamin Hills called the meeting to order. The minutes of the October 11, 2001 meeting were approved as written.

Treasurer's Report: Jimmy Bunch prepared a Monthly Budget Report that showed an ending bank balance of $1153.27. Details included proceeds from the Gilewitz concert of $285.00; expenses of $74.77 (Buzz photo shoot film & prints, Kinko's copying, and telephone bill).

The Gilewitz concert grossed $285 with the artist being paid $250 and publicity expense was $ 10 for a net gain of $25. As was previously approved by the BOD, the net was split with the homeowner; therefore a check was written to Benjamin for $12.50 for his share of the net.

Membership & Mailbox pickup: Jimmy should collect the membership letters from the mailbox, process the checks, and e-mail the member information to Laurel so she can add/update the member list and mail the member cards.

New Business & Ongoing: The next newsletter deadline is set for December 15 for the Dec/Jan/Feb issue. Submit articles to Bob via e-mail. Duane agreed to submit bluegrass news; Laurel agreed to submit contra dance news. All members will receive a "hard copy" of the next newsletter that will contain an article addressing whether members would prefer a "hard copy" or an "e-mail copy" of future newsletters.

Pickers & Singers Jams: Carl Ferre will host the next P&S on December I at his house. Laurel will compose a postcard to be sent to all members advertising the Mary McCaslin concert, the P&S jam, and the next BOD meeting.

Bookings: Mary McCaslin is booked for December I at Moxie's at 8 PM. Benjamin compiled a list of places to poster. So far there is no musician booked as an opener. The BOD agreed to go without booking an opening act.

Sid Lewis is working on booking Joe Craven into Chico on Feb. 2 or 9, 2002; Sid is planning on doing a duo with him. The BOD will let Sid handle the negotiation and venue selection. BFMS will co-sponsor with him if he agrees and will help publicize the event as well as provide any volunteers needed to staff the concert.

Again, Sid stated to Benjamin that he would like to place an ad for his music school in the next newsletter. Bob suggested that Sid could be a listed in the "business partner" section of the BFMS website.

Benjamin related that Chico musician Steve Cook would like to do a concert at the Acoustic Greenhouse in January (second week). BFMS will produce. A date needs to be set so publicity can be done in a timely manner. .

Minutes of the Board of Directors Meeting October 11, 2001

Chairperson Benjamin Hills called the meeting to order. The minutes of the September 6, 2001, meeting were approved as written. Copies of the new member list were given out.

  Membership: Nancy Pyle’s resignation letter was received and read. She had also updated the membership list. At Ben's encouragement, Laurel accepted the position of membership Chairperson.

  Old Business: Ben reported on the finances of the Richard Gilewitz concert. The total income was $287 and the guarantee paid to him was $250. Publicity (Kinko's bill) will be approximately $20. The sound reinforcement glitches at the concert were discussed. Discussion, pinpointed that someone with expertise needs to operate the board. Also the concert break needs to be defined (such as 15 or 20 minutes) so the concert can end before the audience drifts away. The Jazz Society funds and paperwork are in limbo. Mike Painter and the State arc unresponsive to the situation.

  Bookings: Mary McCaslin is booked for December I at Moxie's at 8 PM. Several opening acts were suggested including Jennifer Simpson (vocals & guitar), Dave Houser (guitar & vocals), and Jimmy and Nancy Borsdorf (vocals, guitar, fiddle). Ben will try to secure one of them as the opener. Other future bookings include Harvey Reid (Jan. 17 or I 8 or 24 or 25), David Mallett (his current tour was not compatible with Chico dates), Pin & Dale (available for a Sept. 2002 date), Diedre Donovan who is a Bav area musician, and Bob Brozman (also Bav area).

New Business: The "What's New" section of the website now includes the dance schedule for the International Dance Society, Bob Littell's newsletter, Moxie's newsletter, and the Chico Country Dance Society newsletter. BFMS should encourage musicians to participate in the open mic at Has Beans on Tuesday, evenings. Sign ups are done at 7 PM. BFMS Pickers & Singers has languished for now. We need a "ramrod" to schedule, organize, and lead each session.

Treasurer's Report: Jimmy reported that we have $995.66 in the bank and $273 cash to be banked. The next board meeting is set for Monday, November 12, 2001, 7:30PM at Ben's.

Minutes of the Board of Directors Meeting Sept 6, 2001.

Board members present:  Ben Hills, Duane Thompson, Larry Crisman, Darla Novak, Jimmy Bunch.

  Chairperson Benjamin Hills called the meeting to order.  The minutes of the May 17, 2001, meeting were approved as written.

At the request of Benjamin Duane tallied the attendance of BOD member for our 2001 meetings.  Out of 5 meetings Ben and Duane had perfect attendance; Larry attended 4; Bob, David, Jimmy, and Darla attended 3; Laurel had attended 1.

  Membership:  Nancy Pyle (because of health problems) needs to be replaced as Membership Chair.  She will update the list and then deliver the member supplies to the next appointee.  Duties of the chair will include keeping a current member list, sending out membership cards with an acknowledgement and a bumper sticker, and printing mailing labels for postal notices as well as sending emails for events.

  Treasurer’s Report:  Jimmy Bunch has reconciled the bank statements of several months with the check register.  The result showed that there was more money than the checkbook had originally shown.  As of September 6, 2001, the ending balance was $1, 345.36.  The D. Cowan concert contract was given to Jimmy for him to file with his records.  He has also prepared and mailed the non-profit status statement plus the fee to the State of CA.

 

Old Business:    The defunct Chico Jazz Society’s assets (money) have been researched by Mike Painter and Jim Schmitt (former JS member).  Ben will get the papers from Mike and have Larry continue the process of trying to secure these funds for BFMS.

Folk Nites at Moxie’s are in limbo for this time.  It is difficult to get dates at the venue and to get participants for the events.
Ben reported that the Welches who had a house concert series seem not to want to share their mailing list with BFMS at this time.

New Business:  A discussion on how to encourage BOD members to attend BFMS concerts resulted in a proposal suggested by Ben:  to offer each Board member 1 free ticket to each of 2 concerts as a perk of being an officer.  Tracking could be done by giving 2 coupons to each newly elected board member to be used at the concerts of their choice and could only be used by a board member (not a guest).  This proposal was made into a motion, which was seconded and passed by unanimous vote.  (Duane was put in charge of designing coupons for the remainder of the year so that each of us would get 1 coupon good until 1/1/2002.)

The next newsletter deadline is set for Sept. 23 so it can get to our members before the Gilewitz concert.

  Bookings.  Richard Gilewitz is booked for a house concert at the Acoustic Greenhouse for Friday, Oct. 5, 8 PM.  Ben still needs a second projector for his visual effects accompaniment.

Laurie Reilly, Celtic harpist, is booked for a concert and workshop Oct. 26 & 27.  Janice Williams is in charge of the workshop.

Mary McCaslin is being considered for a concert in late November/early December/early January at Moxie’s.

Bill Bourne is booked for April 5, 2002, at the Acoustic Greenhouse.

Darla spoke up to promote Lou & Peter Berryman, Harvey Reid & Joyce Anderson, and Len Wallace for possible future bookings.  Also mentioned Back Again (Fred Colgan, Johnny Wahl, and Kris Hare) as available for BFMS concerts.

Larry promoted Split Lip Rayfield (speed metal bluegrass) and Yonder Mountain (stringband-bluegrass).

  Chairperson Ben Hills called the meeting to order. The minutes of the April 12, 2001, meeting were approved as written. Laurel proposed that we open each meeting with a song-, discussion to follow 1ater.

  Old Business: Larry talked with David Welch and learned that the Welches are burning out on their house concerts. They are planning to attend the Kate Wolf Festival and may return with some ideas. For now they have ceased their house concerts. Ben will try to obtain access to their contact list to integrate with BFMS list.

Debra Cowan's concert had 40 attending. The gate was $363.00 of which she got, 80% before expenses. Our cut after expenses was $39.
The Dave Nachmanoff concert grossed $206.00. It was sold out at 3PM but ten cancelled by concert time.
The new stage and lighting at The Acoustic Greenhouse (Ben's) met with the BFMS Board approval.
Folk Nite at Moxie's was last Thursday, All had a good time; 5 performers showed with several other listeners. Bob had not set tip the next night but will try for June 14.

The computer contacts that Grant gave to Bob didn't follow through with a return call, so we assume that is a no go.

Bookings: Bill Staines was already booked in L.A. on October 12 so he isn't available for Chico. Scott Nygard is a possibility for mid-September.
Richard Gilewitz is tentatively set for October 5, 2001. He asked for a $250 guarantee and the BOD voted to approve it. Sourdough Slim was suggested as a musician to consider booking.

New Business: The question of business cards was raised. We thought we should have some with the web address and phone number. Ben will look into producing some with a blank area for each person’s name to be written in.
The contra dance has moved to Subud Hall for the June 10 date, There will be a swing workshop prior to the dance.
Laurel is having a new house warming on July 28"' in Concow, Her new phone number is 530- 533-3666,

Minutes of Board of Directors meeting April 12, 2001

Chairperson Ben Hills called the meeting to order. The minutes of the March 15, 2001, meeting were approved as corrected (date for Folk Nite at Moxie's corrected to April 19).

Treasurer's Report: Jimmy Bunch reported that the March 26 bank statement showed a balance of $1,015.54 but the check register had a balance of  $853. He will reconcile the records by next meeting. Duane Thompson is still awaiting a call from the Eagles Bingo coordinator to see if BFMS will benefit from a Bingo night.

Benjamin reported that the Flinner/Grier concert netted a $200 profit for BFMS: Flinner/Grier getting a guarantee of $400, the 2 opening musicians received $40 each, and publicity expenses were $20.

Miscellaneous: There was a discussion on the sound reinforcement comments submitted for the newsletter by Larry Crisman. Consensus was that street noise and kitchen sounds at times interfered with the sound of the musicians. Also a better vocal mic would have improved hearing their announcements.

In the future as BFMS financial base improves, we will consider hiring Small Town Sound for events in larger venues or for larger bands. Steve Masonek has made his system available at no cost and donated his time to deliver, set up, and run sound; this has made it possible for BFMS to continue to produce music events at break even or profit earning mode. Thanks to Steve for his investment and time. The house concert with Dave Nachmanoff will use Steve's system.

New Business: Ben proposed building a small stage and buying some track lighting to further enhance concerts at the Acoustic Green House (Ben's). He made a motion for BFMS to buy stage supplies ($40) and the track lighting ($50) and he will build and install at his house. The stage would be portable so it could be used at other venues and the track lighting is also portable. (Darla=2nd motion). Discussion followed by pointing out that in acquiring more assets, a system needs to be put in place to keep track of all items. David Longaker suggested that we should, at some point, consider ramping to our events for wheelchair users. This will be considered at some future time. The stage & light motion passed unanimously. Ben will get a $90 check from BFMS for the supplies and will have it built by the Nachmanoff concert.

Old Business: Discussion continued from the March meeting about income from house concerts. For the Nachmanoff concert the musician will receive $150 guarantee, then net profit will be split between BFMS and concert host (Ben). The agreement with Debra Cowan is 80% (Cowan), 20% (BFMS) split after expenses (publicity costs). BFMS statement to cover this house concert situation: The income taken in from a house concert will be divided thusly: the performer will get a guarantee or up to 80% of the gate, whichever is negotiated with musicians After expenses of concert are paid. The remainder is to be divided b w en BFMS and the concert host (up to 50% for host at discretion of event producer).

Newsletter Deadline: Set for May 19 dependent on Bob Harrison's schedule. (It costs approximately $60 for newsletter copying & postage.)

Bookings: Richard Gilewitz, guitarist, is being considered for the fall. Sid Lewis is in contact with Scott Nygaard and Mike Marshall for future bookings.

The 4h Folk Nite at Moxie's is scheduled for May 10, 7 – 10 PM, Contact Bob Harrison to get on the performance schedule.

Chairperson Ben Hills called the meeting to order. The minutes of the February 10, 2001, General Membership and BOD meeting were approved as written (Bob .- motion-, Duane - 2"')
Treasurer's Report: Past-treasurer Steve Masonek reported that the minutes of the General Membership meeting reporting the election results plus a letter from the Chairperson stating the election of the new treasurer (Jimmy Bunch) needs to be taken to our bank (Washington Mutual) to initiate and finalize changing the signature card. Steve also reported that the Treasurer's filing cabinet needs to be purged of old forms and outdated material.

Ben needs reimbursement for BFMS-related calls made from his phone. He is to submit copies of Ws phone bills with the pertinent calls highlighted and a total for payment.

Newsletter/Website: Bob Harrison will edit the upcoming newsletter with A March 30 deadline as submission for articles. Steve has photos of the General Membership meeting that can be used in newsletter. Bob asked for feedback about any problems/success in downloading the -MP3 files for Make It So's "The Ride".

Discussion included business partners on the website, paid ads in the newsletter, and prices to charge. Sid Lewis expressed willingness to purchase a business card size ad in the newsletter. He also volunteered as a salesperson to sell ads.

Miscellaneous.- Sound specs and equipment needed for the Flinner/Girier concert at Moxie's was briefly discussed between Ben and Steve. Ben also asked for suggestions for a name for his house concert venue.

Duane Thompson has contacted the Elks regarding the bingo fundraiser for non-profit organizations. After looking over a BFMS newsletter, Ms. Graves (coordinator for the bingo Rights) will make a determination of worthiness and perhaps schedule a night for BFMS as a recipient.

Bookings: Ben has contacted Dave Nachmanoff for a possible late April house concert. Steve made a motion that in a house concert situation, a 50% - 50% split of the profit (gross income less expenses) between BFMS and the homeowner be considered. Discussion followed. The motion PASSED but with the stipulation that further discussion was needed to define the amount of work the homeowner needed to do in concert preparation to qualify for the shared income.

Flinner/Grier concert notices will be e-mailed and postal service mailed to out members prior to the event. Other artists hoping for Chico dates are Misty River (mid June) and Debra Cowan (early to mid May). The 3rd Folk Nite at Moxie's is scheduled for Apriln 19, 7 – 10 PM. Contact Bob Harrison to get on the performance schedule.

Minutes of Board of Directors meeting February 10, 2001

General Membership Meeting and Elections were scheduled after a performance by ‘Make It So’. Ben called the meeting to order. He introduced the members of the (yr) 2000 BOD to the general membership present.

Treasurer's Report: Steve Masonek had prepared an Annual Treasurer's Report Current balance of the checking account is $861-98 plus $100 more to be deposited.

Old Business: (1)Ben conveyed a message from Mike Painter who was researching funds left from a Defunct nonprofit organization. Mike had recently been contacted by a member of that old organization who was surprised that there were any remaining assets. BFMS will still pursue becoming a receiver of those funds. (2)Ben gave a brief history our outreach to the Chico Grange per some of our members becoming Grange members. One of the goals was to be able to use the hall at low or no cost for some of our events. Ben and Jean Louise's house is available for house concerts. Recently the rates for use of the Women's Club have increased. (3)Bob reported on the Folk Music Nights at Moxie's. The two, which have been held, were fairly successful and in the near f4ture the BOD will need to decide if they are to continue. He also highlighted some of the features of the website, especially the calendar and it's potential. (4) Ben posed the question of BFMS again applying for the City of Chico TOT funds, which is divided among arts organizations each year. It is too late for the application process this year. If the BOD decides to reapply at the next deadline, Memo Keswick volunteered to act as consultant.

New Business: A discussion on the pros and cons of raising membership dues ensued. Steve made a motion to set an individual membership at $I5, a couple/family at $20@ BFMS will give a bumper sticker to each new or renewing member. Passed with a unanimous vote.

Bookings: April 13 - Eddie & Martha Adcock at the Chico Women's Club is a co-sponsorship with Grant Johnston. March 22 - Matt Flinner & David Grier is still in negotiations; may be held at Moxie's. Musicians hoping to get a Chico bid are Lui Collins, David Roth, and Don Haynie & Sheryl Samuels. Bob Littell will refer agents and musicians to BFMS too as he has more contacts than he can book. Nancy Pyle also recommended coordinating with other producers (Namaste in Redding, etc.).

Elections: A slate of nominations for board positions was accepted and voted on. The result was as follows: Chairperson=Ben Hills; Vice Chairperson=Duane Thompson; Secretary=Darla Novak; Treasurer=Jimmy Bunch;  Members-at-Large=Larry Crisman, David Longaker, Laurel Paulson-Pierce, Bob Harrison. Unanimous vote for the slate.

Membership: Nancy reported that she is unable at this time to handle a aspects of the membership duties and coordinate the Pickers & Singers event. Lucy Smith will check to see if she can help with the P&S for a while. Darla will poll membership to find someone to help with the membership duties.

Newsletter: Bob Harrison will temporarily fill in as editor and will seek a trainee assistant.

Minutes of Board of Directors meeting January 14, 2001

BOARD Members Present: Benjamin Hills, Duane Thompson, Bob Harrison, Nancy Pyle, Darla Novak, David Longaker, Mchael Painter. BOARD Members Absent: Steve Masonek, Laurel Paulson-Pierce. Meeting called to order by Ben.

Minutes of the November 16, 2000, meeting were approved as amended.

Treasurer's Report: Ben estimated a balance of approximate $818.00 in the checking account plus $100 income from the Radim Zenki concert plus some income from the first BFMS evening at Moxie's.

Old Business: Michael Painter reported on his research for the owner of funds on deposit with the State of CA from the non-profit Chico Jazz Society, which is now defunct. He has exhausted all lines of information. Ben and Michael will examine the papers received from the state to determine the next step in applying for the funds for BFMS. Duane Thompson will call the Eagles (fraternal organization) to learn the process for application for an organization (BFMS) to become a recipient of funds from a Bingo night fundraiser.

New Business: The General Membership Meeting & Elections will be held Feb. 10, 2 PM at Ben's house. Discussion for entertainment possibilities included IRB (contact Hank Switzer or Mark Gailey), Make It So (contact the Kirklands), Highway 99 (contact Jerry Logan), and Lapdog. After elections there may be time for jamming.

Steve Masonek will not be running for Treasurer this time. Memo Keswick also wants to retire as Newsletter Editor. Nancy Pyle as Membership Chairperson needs an assistant to contact members whose dues have expired.

Further discussion of building and maintaining the organization included ways to recruit new members, future use of the Grange Hall for concerts at a low cost, using Steve's sound system for concerts, and perhaps applying for the City of Chico TOT funds again, There was discussion about approaching Memo to find out if he were interested in becoming Treasurer again and assisting in applying for the city funds. (motion made by Bob, 2nd by Darla) Nancy Pyle will call Memo with proposal.

BFMS Evenings at Moxie's will start with structured 15 minute sets. In the future each evening may leave a theme or focus that can be an educational aid for the public.

The current newsletter will be finished by January 15 or 16 by Memo. David & Cheri l,ongaker will copy and mail out the issue. Suggestion: the website should be highlighted in an article to encourage members to refer to it. In the future the newsletter could be made available to all members at the website, thus saving mailing costs. Those not having computers could still receive paper copies of the newsletter.

Discussion about posting the accepted/approved minutes of the BOD meetings on the website ended with the Board approval to do so. Bob will post the Nov, 2000 minutes soon.

Bookings: Grant Johnston has booked Eddie & Martha Adcock for April 13 at the Chico Women's Club. Through Darla he asked if BFMS would be co-sponsor (no financial risk but will aid in promotion by newsletter, etc.). BFMS accepted and approved. Ben asked if there might be a share of profit, if any.

Matt Flinner & David Grier (duo) are seeking a Chico date March 21 - 25; Don Haney & Sheryl Samuels would like a Chico date in early April; Pint & Dale would love to return for a Chico concert and will contact us the next time a tour brings them this way. Bill Staines will play a Paradise Community Concert on April 22, 2001.

Bob Harrison voiced, "Kudos to Ben as Chairperson for the year." Next meeting is Saturday, Feb. 10, 2 PM Meeting adjourned.

Minutes of Board of Directors meeting November 16, 2000

BOARD Members Present: Benjamin Hills, Duane Thompson, Bob Harrison, Nancy Pyle, Steve Masonek, David Longaker.

BQARD Members Absent: Darla Novak, Michael Painter, Laurel Paulson-Pierce. BFMS member present: Larry Crisman

Treasurer's Report: Treasurer Steve Masonek reported a balance of $628.74 in the checking account. This is down from a $1200 balance in August 1999. There is projected $ 100 more expenses that are pending. 

Old Business: Bfms is interested in getting involved with the Chico Grange to find out if it could be mutually beneficial location for BFMS/GRANGE events. Nancy and Darla attended the latest Grange meeting which included the organization rituals. Elections will be held at the Dec. 9 meeting and offices will be for a 2-year term.  Currently there are no refreshments allowed in the main hall and no activities after 10 PM. There is a rental fee charged for the use of each room (hall and dining room/kitchen). Steve will call Doc Barrett about election possibilities.

New Business: Larry Crisman is involved with booking Radim Zenkl for Thursday, Dec. 14, at Moxie's. - Lodging might be provided by Dennis Sullivan or Bob Kirkland. Dave Cowan will provide sound. Sid Lewis will open at 7 PM. Ben Hills will staff the door. Tickets@ are $8 & $10 advance, $10 & $12 at the door.

 The Pickers & Singers Circle was last held at the Congregational Church. With the room being so large, the musicians had difficulty hearing each other, Even so, we may keep meeting at the church until another site is can be found.

Fund raising projects were discussed which included a benefit concert (Steve now has a sound system which is available for use by BFMS). Ben proposed work projects (house painting, etc.) to raise $$. Having a regular monthly night at Moxie's with open mic and a donation can is a possibility. Do we want to raise dues?

Bookings- Ben reported about the upcoming Jim Page house concert at his new home, on Dec. 8, 8:00 PM. Page has agreed to a guarantee' of $200. There will be a dessert potluck. John McCutcheon is booked by Bob Littell at the Sierra Nevada performing venue on Jan. 23, 2001.
